Position Overview

The Cost Clerk plays a critical role in supporting automotive aftersales operations by managing departmental job costs, workshop billing accuracy, and administrative controls. This role ensures all job cards, invoices, and workshop reports are processed correctly, helping improve operational efficiency, financial accuracy, and customer satisfaction across the service department.

Key Responsibilities

* Handle clerical and administrative functions while maintaining workshop personnel records and operational documentation
* Amend computer job cards and invoices accurately to support smooth workshop productivity
* Prepare external and internal job cards for labor, parts, oil, consumables, and sublet services
* Ensure accurate billing by reviewing invoices and verifying all charges against system records and job card details
* Return unacceptable or incomplete job cards to relevant departments with clear and precise correction guidance
* Double-check invoices and related documentation against computer statements for accuracy and compliance
* Organize daily workshop performance reports and administrative updates for management review
* Prepare incentive calculations and claim forms based on technician timesheets and daily operational records
* Support coordination between service advisors, controllers, foremen, and technicians to maintain workshop efficiency
* Maintain compliance with distributor standards and internal aftersales operational procedures

Ideal Profile

* Minimum 3 years of experience as a Cost Clerk within an automotive dealership or workshop environment
* Degree in Mechanical Engineering or Diploma in Automotive or Mechanical Engineering
* Strong understanding of workshop operations, job costing, and aftersales billing procedures
* Good office management and administrative coordination skills
* Strong proficiency in Microsoft Office applications
* Experience using SAP Dealer System is considered a strong advantage
* Excellent communication skills and ability to work effectively with multiple workshop teams
* Strong attention to detail and ability to maintain financial accuracy under pressure
* Professional attitude with strong organizational and follow-up abilities
