This position supports the early stages of complex hospitality and building projects, where disciplined coordination can significantly influence later design and delivery performance. The Assistant Project Manager will help establish project briefs, organize commercial and contractual information, coordinate vendors, monitor pre-contract actions, and maintain the documentation needed for informed project decisions.
Working alongside senior project management professionals, the role connects design, commercial, operational, and external stakeholder requirements. Success depends on keeping information accurate, identifying issues early, and ensuring that each project enters its delivery phase with a clear scope, organized records, and realistic milestones.
Key Responsibilities
* Coordinate pre-contract activities for hospitality and building design projects from initial project setup through contract preparation.
* Organize vendor proposals, service agreements, contractual documentation, project correspondence, and supporting records.
* Assist senior project managers in developing project briefs that clearly define objectives, scope, requirements, and expected deliverables.
* Support preparation and maintenance of project timelines, action schedules, and resource allocation plans.
* Gather technical and commercial information from internal departments, consultants, suppliers, and external vendors.
* Clarify outstanding requirements with relevant stakeholders to prevent gaps from affecting project initiation.
* Maintain structured project files and databases so current pre-contract information can be retrieved efficiently.
* Track project documentation and ensure key records are appropriately maintained throughout the pre-contract process.
* Assist with reviewing vendor submissions and developing comparative assessments to support selection decisions.
* Monitor pre-contract milestones, submissions, approvals, and outstanding actions against agreed timelines.
* Follow up with vendors and project stakeholders where information or deliverables are overdue.
* Prepare meeting agendas and organize the information required for productive project discussions.
* Record meeting minutes, decisions, responsibilities, and follow-up actions.
* Compile concise project status reports for senior managers and other stakeholders.
* Identify emerging programme, documentation, vendor, scope, or coordination risks and escalate them appropriately.
* Help maintain project risk and action tracking during the pre-contract stage.
* Adapt project templates, checklists, and coordination documents to the requirements of hospitality developments.
* Support coordination of site visits, inspections, and stakeholder meetings where required before contract award.
* Maintain communication between project management, design disciplines, internal stakeholders, and external service providers.
* Assist with scheduling, correspondence, vendor communication, and other project administration required to keep activities progressing.
* Support the transition of organized pre-contract information into subsequent design and project delivery stages.
* Contribute to consistent project management processes while maintaining accuracy across multiple concurrent tasks.
Ideal Profile
The position requires at least three years of experience as an Assistant Project Manager, Project Coordinator, or in a comparable project delivery capacity.
Candidates should bring practical experience from architecture, building engineering, design consultancy, or a closely related built-environment setting.
A sound understanding of hospitality projects and their operational requirements is important, particularly where design decisions must respond to guest experience, operational functionality, and development objectives.
Experience supporting mixed-use developments and hospitality projects will strengthen suitability for the position.
