The Job
The role requires regular monitoring of Job Scheduling and Progress Control records. The successful candidate will identify potential delays, coordinate corrective action, maintain accurate service documentation, and ensure workshop activities comply with the Quality Management System, standard operating procedures, and health and safety requirements.
Key Responsibilities
Workshop Job Allocation
* Review open repair orders and identify the work required for each vehicle.
* Allocate repair jobs to appropriate technicians and production lines.
* Match assignments with technician skills, certification levels, workload, and job complexity.
* Prioritise urgent repairs, customer commitments, and operational requirements.
* Balance workshop capacity to avoid excessive workloads or unnecessary technician downtime.
* Confirm that the required tools, equipment, parts, and technical information are available.
* Reassign work when operational conditions, repair requirements, or delivery priorities change.
* Support efficient movement of vehicles through inspection, repair, quality control, and completion stages.
* Maintain clear visibility of current and upcoming workshop workloads.
* Ensure assigned jobs are completed according to approved time standards.
Scheduling and Progress Control
* Prepare and maintain daily workshop repair schedules.
* Update Job Scheduling and Progress Control records at regular intervals.
* Monitor the status of each repair job throughout the working day.
* Compare actual repair progress with planned completion times.
* Identify delays, bottlenecks, resource shortages, and workload conflicts.
* Coordinate corrective action before delays affect promised delivery times.
* Communicate schedule changes promptly to the Workshop Controller and Manager.
* Follow up with technicians regarding incomplete or delayed work.
* Record revised completion estimates when additional repairs or technical issues are identified.
* Support accurate and timely vehicle handover planning.
* Maintain scheduling practices that comply with Quality Management System procedures.
Workshop Coordination
* Coordinate closely with the Workshop Controller during daily business activities.
* Work with the Manager to plan repair workloads and production priorities.
* Communicate job allocations and expected completion times clearly to technicians.
* Liaise with Service Advisors regarding vehicle status and expected delivery.
* Coordinate with the parts team when component availability could affect workshop schedules.
* Support quality-control teams by identifying vehicles ready for inspection.
* Provide timely updates when technical findings change the scope of a repair.
* Escalate major delays, capacity concerns, or operational risks to the appropriate manager.
* Participate in daily workshop planning and progress meetings.
* Contribute to smooth communication between reception, workshop, parts, and quality teams.
Productivity and Performance
* Promote effective utilisation of technicians, workshop bays, equipment, and available working hours.
* Monitor job completion against established labour-time standards.
* Help reduce idle time and improve workshop productivity.
* Identify recurring scheduling problems and recommend practical improvements.
* Support workshop profitability through efficient resource planning.
* Monitor work-in-progress levels and help prevent unnecessary accumulation of unfinished jobs.
* Assist management in reviewing technician output and production-line performance.
* Encourage timely closure of completed repair orders.
* Contribute to operational targets related to productivity, quality, and on-time delivery.
* Participate in continuous improvement activities across the service establishment.
Quality and Documentation
* Ensure repair scheduling activities comply with company policies and procedures.

* Support accurate documentation of repair status, delays, and schedule revisions.

* Certification as a Master Body and Paint Advisor or Technician is preferred.
* Practical understanding of automotive repair and workshop operations.
* Knowledge of repair job allocation, production planning, and progress monitoring.
* Familiarity with body repair, paint operations, mechanical services, or related workshop activities.
* Understanding of standard repair times and technician productivity measurements.
* Ability to coordinate multiple repair jobs and changing workshop priorities.
