Role Context
The Branch Accountant - Automotive Finance will support the financial discipline of a busy 3S automotive facility covering showroom, service, and spare parts activities. The role ensures that invoices, collections, petty cash, customer accounts, internal sales, credit controls, and reporting processes are managed with accuracy and in line with company procedures. By maintaining reliable financial documentation, monitoring outstanding debts, and strengthening branch-level controls, the position helps protect revenue, improve cash visibility, and support efficient business operations.
Key Responsibilities
* Process financial transactions and invoices accurately within required timelines, ensuring all supporting documents are complete and properly recorded.
* Review and follow required document processes for bank payments, revenue recognition, provisions, and assignee clause accuracy.
* Audit financial documents to substantiate transactions and maintain reliable records for branch finance activity.
* Manage intra-company sales, internal sales, government sales, in-house sales approvals, and credit customer transactions.
* Prepare daily invoice summaries for credit invoices and sales return cases, while monitoring outstanding debts and escalating concerns when required.
* Support matrix managers, sales teams, sales administration, showroom teams, and service teams with finance-related guidance and transaction follow-up.
* Collect and verify cash, credit card, cheque, and other payments against invoices, then post collections accurately in SAP.
* Maintain petty cash float, review reimbursement claims, and ensure pending claims are submitted and tracked properly.
* Balance daily collections and petty cash funds, ensuring handovers, verifications, and filing are completed with proper signatures.
* Monitor vault cash limits, insurance coverage requirements, daily deposits, cheque clearance, bounced cheques, and refund cheque activity.
* Upload daily collection reports to the required shared drive and maintain clear branch-level finance records for future reference.
* Ensure accurate SAP data entry with minimal billing cancellations, correct advance payment handling, and timely posting of sublet and bought-out charges to job cards.
* Follow company refund policies strictly and maintain refund logs for tracking, review, and audit purposes.
* Conduct surprise cash counts as per standard operating procedures and report any discrepancies promptly.
* Support financial reporting, operating expense monitoring, capital expense tracking, open purchase order clearance, and branch cost control processes.
* Review branch accounts receivable reports daily, weekly, and monthly to track overdue invoices and support timely collection.
* Maintain updated records for customer credit facilities, including credit limits, credit periods, contact details, documentation, and account reconciliation status.
* Prepare ad hoc finance reports and support requests from the Finance Business Partner, Finance Manager, or branch management.
Ideal Profile
* Bachelor’s degree in Accounting, Finance, Commerce, or a related discipline.
* Minimum 3 years of experience in branch accounting, financial operations, invoicing, cash management, or accounts receivable.
* Previous experience in automotive, dealership, showroom, service, spare parts, or multi-division branch finance operations will be an advantage.
* Proficiency in SAP or similar accounting and financial software.
* Strong understanding of invoicing, payment posting, petty cash handling, credit customer management, refunds, reconciliations, and financial documentation.
* Ability to review documents carefully, identify errors, follow approval processes, and maintain audit-ready records.
* Good working knowledge of internal controls, standard operating procedures, daily collection processes, and branch-level reporting.
* Strong organizational skills with the ability to manage multiple finance activities across sales, service, and spare parts departments.
* Excellent written and verbal communication skills for coordinating with branch teams, finance teams, customers, and management.
