Role Context
The Cost Clerk ensures that workshop labor, spare parts, sublet services and purchased items are assigned to the correct repair orders
Key Responsibilities
* Examine repair orders and confirm that labor, parts and service charges are allocated correctly.
* Check job-costing information against approved workshop documents and system records.
* Prepare accurate proforma invoices for review before generating final customer invoices.
* Apply authorized labor and parts discounts in accordance with company procedures.
* Raise Local Purchase Orders for outsourced work, sublet services and externally purchased items.
* Complete Goods Receipt and Invoice Verification transactions within SAP.
* Monitor open purchase orders and coordinate with relevant departments for timely closure.
* Reconcile supplier invoices against purchase orders, receipts and supporting documents.
* Identify missing information, pricing differences and incorrect cost allocations before billing.
* Maintain orderly service records, invoices, approvals and workshop documentation.
* Support calculations for employee incentives and operational overtime.
* Provide accurate administrative assistance to workshop and aftersales teams.
* Follow established financial controls, approval limits and operational procedures.
* Use Excel reports to track pending transactions, open orders and costing exceptions.
* Communicate unresolved issues to service, parts, procurement or finance personnel.
* Help reduce invoice delays by following repair orders from completion through financial closure.
* Preserve the accuracy and confidentiality of commercial and customer information.
Ideal Profile
Applicants should hold a high school diploma or an equivalent qualification and have at least two years of experience as a Cost Clerk, Service Administrator, Aftersales Administrator or in a comparable position. Previous exposure to an automotive workshop or authorized dealership environment is strongly preferred.
The role suits someone who works confidently with numbers, notices small discrepancies and remains accurate while handling multiple urgent tasks. Practical knowledge of workshop processes, purchase orders and invoicing will enable the successful candidate to contribute quickly.
