The Cost Clerk
Key Responsibilities
* Review completed job cards and verify that repair details, labor hours, parts, consumables, and repair codes are accurate before processing.
* Cost and process workshop repair orders in a timely manner to support invoicing, revenue recognition, and operational efficiency.
* Ensure productive labor hours are correctly captured and allocated to the relevant repair jobs.
* Check that parts, consumables, sublet work, and related charges are accurately reflected before invoice closure.
* Maintain accurate costing records and support workshop teams in minimizing lost productive hours.
* Monitor work-in-progress records and follow up on pending, incomplete, or non-costed repair orders.
* Escalate outstanding job cards, delayed costing items, or documentation gaps to the relevant service or workshop team.
* Ensure all job cards comply with distributor, manufacturer, and internal operational standards.
* Support accurate invoicing by checking repair data, job codes, warranty-related information, and customer charge details.
* Maintain records and reporting inputs through SAP, dealer systems, and other internal business platforms.
* Coordinate with Service Advisors, Workshop Controllers, technicians, and management to resolve repair order queries.
* Support aftersales administration by keeping repair documentation, costing files, and system updates accurate and complete.
* Assist with reporting requirements linked to job card status, WIP, invoicing, labor recovery, and workshop performance.
* Follow company policies, Toyota standards, internal controls, and workshop administration procedures.
* Contribute to smooth aftersales operations by maintaining accuracy, discipline, and timely follow-up across costing activities.
Ideal Profile
* High school, college, or university education.
* Automotive qualification or Government or National Trade Certificate in Mechanical Automotive Engineering is preferred.
* Minimum 2 years of experience in automotive administration, reception, costing, workshop support, or aftersales operations.
* Good understanding of automotive repair processes, workshop job flow, repair orders, job cards, and costing principles.
* Knowledge of productive labor hours, consumables allocation, parts invoicing, repair coding, and work-in-progress control.
* Strong attention to detail when checking job cards, repair data, invoices, records, and system entries.
* Good analytical and problem-solving ability for identifying errors, missing information, and costing discrepancies.
* Strong organizational and administrative skills with the ability to manage multiple job cards and deadlines.
* Proficiency in Microsoft Excel and Word.
* SAP Dealer Systems experience is an advantage.
* Good command of the English language.
* Effective communication skills with the ability to work with service, workshop, administration, and management teams.
* Customer-focused mindset with commitment to accurate processing and operational excellence.
* Able to work effectively in a fast-paced Toyota aftersales environment.
