The Fleet
Advertising Coordinator will manage the operational workflow required to place and remove advertising materials across assigned vehicles. The position acts as the central coordination point between the nominated advertisement vendor, drivers, Operations, Garage teams, and other stakeholders involved in vehicle availability, inspections, permitting, stickering, de-stickering, and damage recovery.
Strong execution in this role helps maximize campaign completion rates while minimizing vehicle downtime, installation errors, physical damage, and unrecovered vendor liabilities. Accurate planning and documentation will be essential for maintaining campaign performance and protecting fleet assets.
Key Responsibilities
* Maintain a productive operational relationship with the nominated advertisement vendor.
* Coordinate stickering, de-stickering, installation, and un-installation activities for vehicle advertising campaigns.
* Select suitable vehicles for upcoming campaigns based on brand, vehicle age, operational shift, and campaign requirements.
* Prepare daily installation and removal plans according to campaign volume and fleet availability.
* Apply for advertising permits through official Dubai portals where required.
* Monitor permit status and ensure regulatory approvals are available before campaign execution.
* Coordinate directly with drivers to schedule installation, removal, inspection, and campaign-related appointments.
* Work with Operations teams to arrange temporary vehicle suspensions when required for campaign activities.
* Coordinate Garage and vendor representatives during vehicle check-in and check-out inspections.
* Ensure vehicle condition is properly documented before and after advertisement installation.
* Organize damage claims and ensure they are raised within required timelines.
* Coordinate with Garage teams to prepare damage reports and supporting evidence.
* Submit verified damage claims to advertisement vendors and track recovery through closure.
* Maintain vendor accountability throughout installation, removal, inspection, and damage rectification processes.
* Monitor daily campaign progress against planned installation and de-stickering targets.
* Escalate operational delays, missed appointments, vehicle availability issues, or vendor performance concerns.
* Maintain accurate records of vehicles, campaign dates, permits, inspection reports, damages, claims, and completion status.
* Ensure campaign activities are completed with minimal disruption to fleet operations.
* Track post-campaign vehicle condition and work to maintain damage rates below defined targets.
* Support complete recovery of validated advertisement-related damages from the responsible vendor.
* Prepare regular campaign status updates for operational and management review.
* Coordinate closely with drivers, vendors, Garage teams, and Operations to maintain smooth campaign execution.
