Role Context
The Parts Advisor will act as
the operational link between customers, Service Advisors, workshop technicians, warehouse teams, and procurement personnel. Accurate parts identification and timely supply are critical to reducing workshop downtime, maintaining efficient repair turnaround, and supporting strong customer satisfaction.
The position also contributes directly to commercial performance by preparing accurate quotations, promoting suitable parts, monitoring stock availability, following up on backorders, and identifying additional sales opportunities without compromising service quality or inventory discipline.
Key Responsibilities
* Identify the correct automotive parts using vehicle details, repair requirements, technical references, and available parts systems.
* Supply workshop technicians and Service Advisors with required components within agreed service timelines.
* Handle retail, workshop, and internal parts inquiries professionally and accurately.
* Prepare parts quotations based on customer requirements, availability, pricing, and approved commercial terms.
* Process parts orders correctly and ensure all transactional details are recorded before issue or delivery.
* Monitor current stock availability and identify shortages affecting workshop or customer requirements.
* Follow up on backorders, urgent parts requests, and delayed items until requirements are fulfilled.
* Coordinate with warehouse personnel regarding receiving, locating, picking, issuing, and transferring parts.
* Work with procurement teams to support replenishment of fast-moving, low-stock, and critical items.
* Maintain accurate inventory records and support stock-control activities.
* Ensure parts are received, stored, labeled, and issued according to established procedures.
* Verify documentation for parts receipts, issues, returns, transfers, and adjustments.
* Assist with resolving discrepancies between physical stock and system inventory.
* Support workshop productivity by prioritizing urgent vehicle repair requirements.
* Communicate parts availability and estimated delivery status clearly to Service Advisors and customers.
* Promote genuine and approved automotive parts based on customer and vehicle requirements.
* Identify appropriate upselling and cross-selling opportunities to improve parts revenue.
* Maintain awareness of fast-moving products, recurring workshop requirements, and customer purchasing patterns.
* Support achievement of assigned parts sales, service, stock, and customer satisfaction KPIs.
* Maintain accurate records of quotations, orders, backorders, customer inquiries, and completed transactions.
* Coordinate professionally with customers when alternative parts, revised delivery dates, or additional approvals are required.
* Maintain organized parts-handling practices to minimize loss, damage, misplacement, and incorrect issuing.
* Contribute to a responsive parts operation that supports workshop efficiency and repeat customer business.
