Role Context

The Sales Coordinator - Automotive Parts will support daily automotive operations by ensuring required parts, accessories, and outsourced services are sourced, ordered, tracked, and delivered on time. The position connects procurement, sales coordination, supplier communication, warehouse follow-up, workshop requirements, and customer account support. By maintaining accurate ERP transactions, monitoring order status, and resolving delivery issues, the role helps reduce operational delays and supports stronger service delivery across automotive aftersales and vehicle customization activities.

Key Responsibilities

* Purchase automotive parts, accessories, and related services through ERP platforms such as SAP and SAP Ariba for repair jobs, service requirements, and vehicle customization work.
* Forecast material and service requirements to support workshop schedules, project timelines, and smooth operational planning.
* Review quotations from multiple suppliers and compare cost, lead time, quality, technical specifications, and availability before raising procurement requests.
* Create and manage purchase requisitions, purchase orders, and service orders with accurate details and proper approval follow-up.
* Coordinate with suppliers, outsourced service providers, internal teams, customers, and managers to resolve order approvals, material availability, and delivery concerns.
* Track customer accounts, payment follow-ups, order status, delivery confirmations, and pending backorders with proper documentation.
* Support sales generation by coordinating with internal and external customers and ensuring timely responses to product and service requirements.
* Inspect deliveries and service outputs to confirm that materials, parts, and work completed meet company quality expectations.
* Conduct product trials and site audits where required to support operational improvement and service consistency.
* Prepare productivity and performance reports related to parts usage, work in progress, monthly net sales, warehouse availability, delayed deliveries, damaged stock, and aging materials.
* Process warranty claims in line with manufacturer guidelines, ensuring supporting documents, technical details, and follow-up actions are completed accurately.
* Assist warehouse efficiency by monitoring stock movement, delivery scheduling, material condition, and inventory-related issues.
* Support testing and implementation of new SAP modules, including VAT, time clocking, bonded warehouse, and other system enhancements.
* Train and guide new staff on ERP usage, process standards, order tracking, documentation requirements, and operational procedures.

Ideal Profile

* Diploma or Degree in Business Administration, Supply Chain Management, Automotive Business, or a related field.
* Experience in procurement, sales coordination, order management, or parts administration within an automotive or aftersales environment.
* Strong working knowledge of ERP systems, preferably SAP and SAP Ariba.
* Ability to prepare purchase requisitions, purchase orders, service orders, warranty documentation, and operational reports.
* Good understanding of supplier coordination, quotation comparison, delivery follow-up, warehouse support, and material availability planning.
* Strong analytical ability for reviewing productivity, efficiency, parts performance, work-in-progress reports, and monthly sales data.
* Confident communication skills for dealing with vendors, customers, managers, workshop teams, warehouse teams, and internal departments.
* Detail-oriented approach with the ability to manage multiple orders, deadlines, approvals, and service requirements.
* Comfortable training and assisting new staff while maintaining process accuracy and operational standards.
* Professional attitude with strong problem-solving ability, accountability, and customer-focused coordination skills.
