Role Context
The Specialist - Corporate Actions will manage complex corporate action events across local, regional, and international markets for products such as equities, mutual funds, fixed income, hedge funds, structured funds, and ETFs. This role is responsible for event announcement monitoring, data scrubbing, client notification, voluntary election handling, entitlement posting, position reconciliation, SWIFT validation, and issue escalation. The position helps protect clients and the bank from financial, operational, and reputational risk by ensuring accurate processing, timely execution, and strong control adherence across the corporate actions lifecycle.
Key Responsibilities
* Monitor and process daily corporate action activities across domestic, regional, and international markets.
* Handle mandatory and voluntary corporate action events for equities, mutual funds, fixed income, hedge funds, structured funds, ETFs, and related securities products.
* Receive, review, and validate market and sub-custodian announcements for accuracy, completeness, and market relevance.
* Scrub and compare corporate action data using reliable sources such as Bloomberg, Reuters, sub-custodians, local market websites, newspapers, issuers, and market announcements.
* Notify clients of corporate action events in a clear, timely, and accurate manner.
* Solicit and receive client responses for voluntary events and submit instructions to sub-custodians, markets, agents, or processing banks before applicable deadlines.
* Reconcile client positions with sub-custodians and market records to confirm accurate entitlement calculations.
* Monitor posting of accruals, entitlements, income, tax reclaims, and corporate action proceeds to client accounts.
* Track and respond to internal and external client queries by providing accurate corporate actions information based on market rules and best practice.
* Communicate with clients, counterparties, markets, sub-custodians, regulators, companies, brokers, depositories, issuers, paying agents, and internal stakeholders.
* Support due diligence visits and provide corporate action process information where required.
* Apply quality control procedures, standard operating instructions, and internal controls throughout the corporate actions process.
* Provide first-level training to new specialists and support colleagues in resolving corporate action inquiries.
* Support asset services activities including corporate actions, tax reclaims, proxy services, income management, network management support, and reconciliation.
* Review and validate cash and FX settlement transactions entered by officers or other specialists and escalate mismatches to the AVP.
* Confirm settlement completion and ensure appropriate accounting entries are executed on settlement date.
* Validate SWIFT instructions entered by officers or other specialists before AVP authorization.
* Perform second-level SWIFT generation checks and ensure correct use of corporate action and settlement-related SWIFT messages.
* Review client positions and holdings daily and reconcile them with sub-custodians and markets.
* Monitor client cash positions to identify funding gaps, overdraft risks, or insufficient balances and escalate concerns to the AVP and Middle Office.
* Perform second-level reconciliation checks and escalate unresolved discrepancies promptly.
* Monitor KPIs, KRIs, capacity planning, incidents, control adherence, and processing quality within the section.
* Participate in section-related projects including system upgrades, processing enhancements, off-hours testing, new client requirements, and new product functions.
* Support implementation of client SLAs, service level definitions, sub-custodian SLAs, new functions, product changes, market rules, regulations, and procedures.
* Review processes and recommend improvements to enhance client satisfaction, reduce manual activity, improve productivity, and lower operational cost.
* Track custodian offerings and international best practices to support service improvements and changing client requirements.
* Follow departmental policies, processes, standard operating procedures, compliance requirements, audit expectations, and organizational values at all times.
Ideal Profile
* University graduate or bachelor’s degree in Finance, Banking, Business, Accounting, Economics, or a related discipline.
* Candidates with at least 5 years of directly related work experience may also be considered.
* Minimum 5 years of experience in securities services, back-office operations, corporate actions, securities settlement, custody operations, or related asset services functions.
* Solid understanding of securities services operations and accounting activities linked to corporate actions, settlement, income, tax reclaims, reconciliation, and custody activity.
* Practical experience managing corporate action events across local, regional, and international markets.
* Good knowledge of mandatory events, voluntary events, client elections, market deadlines, entitlement processing, accruals, and custody system validation.
* Experience with securities-related functions such as client services, corporate actions, settlement, data maintenance, billing, or custody account opening is an advantage.
* Strong understanding of SWIFT messages, corporate action announcements, market communication, sub-custodian coordination, and reconciliation controls.
* Ability to work under pressure, prioritize several tasks at the same time, and meet strict client and market deadlines.
* Strong execution skills with the ability to follow up effectively in a high-volume operational environment.
* Ability to achieve business objectives without compromising controls, compliance requirements, or risk parameters.
* High level of accuracy, attention to detail, and ownership when reviewing transactions, instructions, client positions, and system entries.
