Responsibilities:
General:
- Maintain and update the Crewing Calendar, factoring in project timelines, in-house crew availability, and leave schedules.
- Provide monthly updates on Time Off In Lieu (TOIL) entitlements for in-house crew.
- Maintain an up-to-date crew database for both in-house and freelance crew, tracking roles, skills, performance, rates, and availability.
- Manage any other ad-hoc crewing responsibilities as required.
Project Coordination:
- Obtain project details from the Sales Department, including location, crew requirements, duration, and budget.
- Work closely with the Project Technical Manager to identify required skill sets for each project.
- Schedule and allocate both in-house and freelance crew for projects.
- Negotiate freelance crew contracts, professional fees, and ensure compliance with company policies.
- Arrange and coordinate crew logistics, including visa processing, per diems, flights, accommodations, transportation, and meals.
- Develop contingency plans to address unforeseen issues such as crew unavailability, flight delays, or emergencies.
- Maintain strong communication with project crew, handling all logistics and crew welfare concerns.
- Provide replacement crew in case of last-minute cancellations or emergencies.
- Assist in project closeout activities, including crew performance evaluations, archival of project records, and final reporting.
- Integrate crew evaluation reports into the database for future reference.
- Track and analyze project crew financials, including freelancer fees, logistics, and per diems, and report cost overages or discrepancies.
- Verify freelancer invoices for accurate billing.
- Support reimbursement processing for in-house crew members involved in projects.
Required Skills and Qualifications:
- Degree or diploma in Business, Economics, Finance, HR, or a related field.
- Minimum 2 years of experience in crew management, logistics, or a similar role.
- Strong client management and relationship-building skills.
- Excellent organizational, communication, and interpersonal skills.
- Ability to multitask and thrive in a fast-paced, high-performance environment.
- Strong attention to detail and negotiation skills.
- Proficiency in Microsoft Office Suite.
- Understanding of mass media, broadcasting, or the entertainment industry is an advantage.
