Key Responsibilities
* Develop, maintain, and improve document control systems for construction project documentation.
* Manage drawings, plans, contracts, reports, correspondence, submissions, and project records in a structured document management environment.
* Ensure all project documentation complies with regulatory requirements, company standards, and project procedures.
* Supervise document controllers, assign daily work, review output quality, and provide guidance on document control processes.
* Maintain accurate filing, storage, version control, document registers, and retrieval systems.
* Manage document distribution to project team members, consultants, contractors, clients, and external stakeholders.
* Support audits by preparing required documentation, reports, logs, and document history records.
* Generate regular reports on document control activities, document status, pending actions, and project documentation progress.
* Train project team members on document control procedures, systems, naming conventions, and workflow requirements.
* Monitor document quality to ensure accuracy, completeness, proper formatting, and correct filing.
* Improve document control workflows to support faster approvals, better traceability, and stronger project coordination.
* Coordinate with construction, engineering, commercial, quality, and project management teams to maintain smooth information flow.
* Protect confidential project information and ensure controlled access to sensitive documentation.
* Support compliance with QA/QC procedures, construction management applications, and project reporting requirements.
Ideal Profile
* Bachelor’s degree in Business Administration, Engineering, Construction Management, or a related field.
* Minimum 10 years of document control experience within the construction industry.
* Strong background in managing construction documents, drawings, contracts, reports, submissions, and controlled project records.
* Proven experience supervising document control teams and guiding document controllers in a busy project environment.
* Proficient in document management software and construction management applications.
* Strong organizational skills with the ability to manage multiple documentation workflows at the same time.
* Excellent verbal and written communication skills for coordination with project teams and stakeholders.
* High attention to detail with a strong focus on accuracy, filing quality, and document traceability.
* Able to prepare documentation reports, support audits, and train team members on document procedures.
