Role Context
The Document Controller - Aconex Procore will support project delivery by ensuring that documents move accurately and efficiently between project operations, engineering disciplines, construction teams, suppliers, and department groups. The role helps protect document traceability, reduce approval delays, improve information control, and maintain reliable records throughout the project lifecycle. By managing logs, transmittals, electronic files, databases, and distribution schedules, the position contributes directly to project coordination, compliance, quality, and timely decision-making.
Key Responsibilities
* Perform document control functions for an assigned project, department, or small-sized project scope.
* Coordinate the flow of controlled documents between project operations, engineering disciplines, construction teams, suppliers, consultants, and other department groups.
* Process project documents through defined procedural steps, review cycles, approval routes, filing requirements, and distribution workflows.
* Ensure document numbering systems, approval signatures, revision controls, and pre-established document control requirements are followed throughout the project.
* Receive, register, track, and monitor documents using approved document management platforms and project-specific systems.
* Use Aconex and Procore to manage submissions, transmittals, correspondence, document reviews, approvals, comments, and controlled project records.
* Maintain project databases, document registers, electronic logs, transmittal records, document status reports, and management reports as required.
* Enter data accurately and produce reports using MS Windows, word processing, spreadsheet, database, and department-specific applications.
* Scan, index, upload, and store documents electronically to support secure retrieval and long-term project record management.
* Maintain data distribution systems and document issue schedules based on client, project, department, and supplier requirements.
* Expedite document reviews, signatures, approvals, and releases for supplier documents and internally produced project documents.
* Support junior document control staff by helping them follow project-specific procedures, filing rules, and workflow requirements.
* Perform light clerical duties such as typing, filing, phone handling, messenger coordination, and general project administration when required.
* Work closely with project personnel and management to resolve missing information, delayed approvals, incorrect revisions, and document status issues.
* Contribute as a reliable team player in a deadline-driven project environment where accuracy, communication, and document discipline are essential.
Ideal Profile
* Degree or diploma in a related discipline.
* Minimum 5 years of document control experience within an engineering design, consulting, construction, or infrastructure project environment.
* Strong working knowledge of document control processes, document numbering, revision tracking, approval workflows, transmittals, logs, and controlled distribution.
* Practical experience using Aconex and Procore for project documentation and electronic document management.
* Knowledge of electronic systems used to manage technical, engineering, supplier, and construction documentation.
* Proficient keyboard skills with working knowledge of MS Windows, word processing software, spreadsheet tools, and database applications.
* Ability to register documents, maintain databases, prepare logs, generate reports, and track document status accurately.
* Good written and verbal communication skills with the ability to interact effectively with project personnel, engineers, construction teams, suppliers, and management.
* Strong organizational and interpersonal skills with a disciplined approach to filing, reporting, follow-up, and document accuracy.
* Ability to manage multiple document types, work under deadlines, and support project teams with timely information flow.
