Role Context
The Document Controller - Project Records will support Parsons Corporation by maintaining the accuracy, traceability, and timely movement of project documentation across engineering, construction, operations, and management teams. The role helps protect project quality and contractual discipline by ensuring that communications, design documents, construction documents, submissions, transmittals, records, and closeout files are processed in line with approved procedures. Strong Aconex knowledge, document control discipline, and clear coordination with project personnel are essential for success.
Key Responsibilities
* Plan, organize, and implement document control systems for efficient processing of project communications, design documents, construction documents, and internal or external records.
* Coordinate the flow of documents between project operations, engineering disciplines, construction teams, consultants, contractors, and department groups.
* Administer document management activities using Aconex and other Electronic Document Management Systems as required by the project.
* Implement document and data management solutions with a focus on document control, records management, tracking, retrieval, and distribution.
* Process different document types through all procedural steps according to defined project procedures, company guidelines, and client requirements.
* Receive, register, track, monitor, and update documents using standard document management programs and project control systems.
* Maintain document databases, registers, logs, transmittals, distribution records, review status reports, and other control reports as required.
* Assist project users in capturing, locating, retrieving, and managing electronic information accurately and efficiently.
* Maintain an established data distribution system and document schedule based on client, project, and department requirements.
* Check document submissions for completeness, proper coding, version control, metadata accuracy, and correct routing.
* Verify document retention requirements and arrange cataloging, packing, long-term storage, archiving, or disposal of appropriate documents during closeout.
* Delegate and direct daily work activities of the project document control team when assigned.
* Support deadline-driven project operations by ensuring documents are issued, received, updated, and closed within required timelines.
* Coordinate with project managers, engineers, construction teams, consultants, contractors, and management to resolve document control issues.
* Maintain controlled records of correspondence, drawings, specifications, reports, approvals, comments, responses, and closeout documentation.
* Follow corporate procedures related to document management, electronic filing, records retention, and project information control.
* Prepare reports and updates related to document status, overdue actions, review cycles, submissions, and distribution.
* Work as a reliable team player with strong attention to accuracy, confidentiality, and project deadlines.
* Perform other document control and project administration duties associated with the position as required.
Ideal Profile
* Graduate qualification is required.
* Minimum 5 years of related work experience in construction, engineering, infrastructure, or project documentation environments.
* At least 3 years of direct document control experience is required.
* Strong proficiency in Aconex is required.
* Proficiency in MS Office, including Microsoft Word, PowerPoint, and Excel.
* Working knowledge of Electronic Document Management Systems and document control procedures.
* Strong understanding of document control work processes, records management, transmittals, registers, filing structures, and project data distribution.
* Knowledge of corporate procedures related to document management and project records control.
* Ability to coordinate document flow across engineering disciplines, construction teams, operations groups, contractors, consultants, and management.
* Good written and oral communication skills in English.
* Strong organizational and interpersonal skills.
* Demonstrated ability to interact effectively with project personnel, senior team members, and management.
* Able to work under deadlines while maintaining accuracy, document traceability, and professional communication.
