Role Context
The Document Controller - Project Records will maintain accurate document control processes for a project or department, helping project teams work from current, traceable, and properly approved information. The position plays a key role in reducing documentation errors, supporting audit readiness, improving coordination between engineering and construction stakeholders, and keeping project records accessible, secure, and compliant throughout the project lifecycle.
Key Responsibilities
* Coordinate the flow of controlled documents between project operations, engineering disciplines, construction teams, suppliers, consultants, and department groups.
* Process project documents through defined review, approval, distribution, filing, and close-out procedures.
* Maintain document numbering systems, approval workflows, signature requirements, revision controls, and distribution rules according to project requirements.
* Receive, register, track, monitor, and update documents using approved electronic document management systems.
* Prepare document logs, transmittals, registers, status reports, review trackers, and other project documentation reports as required.
* Use Asite to manage documentation workflows, submissions, comments, approvals, document history, and controlled project communication.
* Scan, upload, index, and store documents electronically to support accurate retrieval and long-term record management.
* Maintain project databases and ensure information is entered accurately, consistently, and within required timelines.
* Expedite document reviews, signatures, approvals, and release of supplier and internally produced documents.
* Support data distribution schedules based on client, project, department, supplier, and consultant requirements.
* Assist junior document control staff with project-specific procedures and daily document control activities.
* Perform related administrative tasks such as typing, filing, call handling, messenger coordination, and general office support when required.
* Work closely with project personnel and management to resolve document status issues, missing information, delayed approvals, and record discrepancies.
* Contribute to a deadline-driven project environment by maintaining accurate, timely, and well-organized documentation.
Ideal Profile
* Degree or diploma in a related discipline.
* Minimum 5 years of document control experience within an engineering design, consulting, construction, or infrastructure project environment.
* Strong understanding of document control workflows, project records, revision control, transmittals, approvals, and document distribution procedures.
* Hands-on experience using Asite for electronic document management is required.
* Working knowledge of MS Windows, word processing software, spreadsheet tools, database applications, and standard office automation systems.
* Good keyboard skills with the ability to enter, update, and verify data accurately.
* Ability to prepare clear logs, reports, registers, and document status updates for project teams.
* Strong written and verbal communication skills with the ability to interact effectively with engineers, managers, contractors, and project stakeholders.
* Organized, detail-oriented, and able to manage multiple document types under strict deadlines.
