Role Context
The Document Controller will provide the information
The position will manage the full lifecycle of project records within ACONEX, from receipt and registration through review, revision, approval, distribution, retrieval, and final archiving. Strong control of document status and version history is essential to reducing errors and preventing outdated information from entering active construction workflows.
Key Responsibilities
* Administer project documentation within the ACONEX platform.
* Register incoming and outgoing documents using consistent indexing and classification standards.
* Maintain accurate project folders, registers, metadata, and document repositories.
* Control document submission, review, approval, distribution, and close-out workflows.
* Track document revisions and ensure project users have access to current approved versions.
* Prevent superseded or uncontrolled documents from being used for active project activities.
* Coordinate document exchanges between project teams, contractors, consultants, and other stakeholders.
* Monitor outstanding submissions, approvals, responses, and overdue documentation.
* Follow up with responsible parties where document actions remain incomplete.
* Maintain transmittal records and clear audit trails for project correspondence and deliverables.
* Perform accurate data entry and update document registers as project information changes.
* Review incoming documentation for completeness, naming conventions, reference details, and filing requirements.
* Identify duplicate, missing, incorrectly classified, or inconsistent documentation.
* Resolve document control discrepancies in coordination with relevant project personnel.
* Generate document status reports, registers, trackers, and summaries for project management.
* Provide current documentation information to support meetings, reviews, audits, and reporting requirements.
* Respond promptly to requests for drawings, specifications, reports, correspondence, and other controlled records.
* Support engineering and construction teams by ensuring required project information can be retrieved efficiently.
* Maintain records of technical submissions, consultant responses, approvals, and related correspondence.
* Apply project-specific document control procedures and construction documentation standards.
* Ensure controlled documents comply with agreed project requirements and applicable regulatory processes.
* Maintain confidentiality and appropriate access controls for commercially or technically sensitive information.
* Protect the integrity and security of electronic project records.
* Use Microsoft Word, Excel, and Outlook for registers, correspondence, reporting, and administrative coordination.
* Support integration with other project management or document control platforms where required.
* Maintain orderly archival records for completed documentation and project handover.
* Assist with document close-out activities and compilation of final project records.
* Prioritize competing document control requirements across multiple workstreams and deadlines.
* Coordinate professionally with multidisciplinary teams while maintaining clear and consistent documentation practices.
Ideal Profile
Candidates should have at least five years of document control experience, preferably within a construction supervision consultancy, engineering design consultancy, or major building project environment.
Proven hands-on experience using ACONEX on large-scale building or commercial projects is essential. Applicants should understand controlled document workflows, revision management, transmittals, registers, review cycles, approval status, and electronic filing structures.
A degree is preferred but is not essential. Relevant document control or information management certifications will be advantageous.
Experience working on construction projects in the United Arab Emirates is important, together with familiarity with building terminology, construction documentation practices, and multidisciplinary project environments.
Candidates should be proficient in Microsoft Word, Excel, and Outlook and comfortable learning or operating additional project management and document control systems.
