Role Context
The Document
Key Responsibilities
* Perform day-to-day document control activities in accordance with approved project procedures and client requirements.
* Receive, register, classify, track, distribute, and archive incoming and outgoing project documentation.
* Coordinate document movement between project management, engineering disciplines, construction teams, clients, consultants, suppliers, and other stakeholders.
* Process documents through established review, approval, distribution, and closeout workflows.
* Verify compliance with document numbering conventions, revision requirements, status codes, approval processes, and distribution protocols.
* Maintain accurate document registers, databases, correspondence logs, transmittals, revision records, and supporting trackers.
* Use Electronic Document Management Systems to manage controlled project records and documentation workflows.
* Monitor document review cycles and follow up with responsible personnel when responses or approvals become overdue.
* Expedite outstanding signatures, reviews, supplier submissions, approvals, and document releases where they could affect project progress.
* Maintain controlled distribution matrices according to project, client, discipline, department, and supplier requirements.
* Ensure authorized project personnel can access the latest approved versions of drawings and other controlled documents.
* Maintain complete revision histories and prevent unintended use of superseded documentation.
* Identify, archive, and control obsolete or superseded documents in accordance with project procedures.
* Scan, upload, index, classify, file, and retrieve electronic project records.
* Conduct document quality checks for completeness, numbering, revision status, metadata, required signatures, and approvals.
* Produce regular document status reports highlighting outstanding reviews, overdue approvals, and pending submissions.
* Assist Engineering and Construction personnel with document searches, retrieval, status confirmation, and workflow queries.
* Maintain appropriate confidentiality and access restrictions for sensitive client and project information.
* Support the control of engineering drawings, specifications, technical submittals, RFIs, reports, correspondence, and supplier documentation.
* Coordinate document control requirements throughout design, procurement, construction, commissioning, and closeout stages.
* Maintain clear transaction histories so project documentation remains traceable and audit-ready.
* Support internal, client, and project document audits by providing organized records and evidence of document transactions.
* Assist junior Document Controllers and Coordinators in applying project-specific procedures and workflow requirements.
* Identify recurring document control problems and recommend practical improvements to registers, workflows, and filing practices.
* Work with multidisciplinary teams to resolve document numbering, distribution, revision, or approval discrepancies.
* Monitor large volumes of documentation while maintaining accuracy and meeting project deadlines.
* Support preparation and organization of final project records and handover documentation.
* Verify that required closeout documents are complete, correctly indexed, and stored in the appropriate system.
* Assist with final document archiving and retention activities in accordance with project requirements.
* Maintain professional coordination with clients, suppliers, contractors, consultants, and internal project personnel.
* Provide administrative and clerical support associated with document control activities when required.
* Help maintain consistent document control practices across assigned project departments or work packages.
Ideal Profile
* High School Diploma or equivalent qualification.
* Minimum 4 years of relevant professional experience, including at least 3 years performing document control activities.
* Practical document control experience within construction, engineering, infrastructure, or another project-based environment.
* Good working knowledge of document control procedures, registers, workflows, revisions, approvals, and controlled distribution.
* Hands-on experience using Electronic Document Management Systems for document registration, tracking, retrieval, distribution, and archiving.
* Experience maintaining document registers, correspondence logs, transmittals, revision records, distribution matrices, and approval workflows.
* Familiarity with engineering and construction documentation such as drawings, specifications, RFIs, technical submittals, reports, and supplier records.
* Experience with Oracle Aconex, Autodesk Construction Cloud, SharePoint, or comparable document management platforms is desirable.
* Previous exposure to PMC, Delivery Partner, EPC, consultancy, or client-side project environments would be valuable.
* Understanding of document control requirements from design and procurement through construction, commissioning, handover, and archiving.
* Experience supporting documentation audits and quality reviews is advantageous.
* Strong proficiency in Microsoft Word, Excel, PowerPoint, and Outlook.
* Excellent organizational ability with careful attention to document numbers, revisions, status, and metadata.
* Ability to manage multiple workflows, deadlines, submissions, and priorities simultaneously.
* Good written and verbal communication skills for coordinating with multidisciplinary project teams.
* Strong interpersonal skills and a service-oriented approach when supporting internal and external stakeholders.
* Ability to work independently while contributing effectively within a larger project delivery team.
