Role Context
The Administration Coordinator - Customer Experience will support the smooth daily operation of the school’s Customer Experience function by keeping enquiries, feedback, data, events, documents, and parent-facing communication properly managed. The role helps ensure that families receive timely responses, records are accurate, school leadership has reliable information, and the Parent Relations Executive and Customer Experience Manager can focus on relationship building and issue resolution. This position plays an important part in protecting service quality, parent confidence, and the school’s professional reputation.
What You’ll Do
* Provide organized administrative support across the Customer Experience team, Parent Relations, Reception, Admissions, and School Leadership Team.
* Manage and triage incoming parent enquiries, ensuring each request is acknowledged, recorded, assigned, and followed up within agreed service standards.
* Maintain accurate records of complaints, compliments, resolutions, feedback themes, and follow-up actions so recurring issues can be reviewed and improved.
* Support Admissions and Reception during busy periods such as enrolment campaigns, open days, school tours, and parent-facing events.
* Maintain parent feedback trackers, survey logs, action logs, enquiry databases, and engagement reports with a high level of accuracy.
* Turn feedback and survey responses into clear, trackable updates that help the school monitor improvement actions.
* Prepare and update reports, trackers, and databases that Customer Experience leaders and school leadership can use for decision-making.
* Plan and coordinate parent engagement activities from start to finish, ensuring logistics, communication, materials, attendance, and follow-up are handled professionally.
* Coordinate Parent Council meetings and initiatives, including agendas, minutes, action points, follow-ups, and document circulation.
* Support the Parent Relations Executive with social media coordination, including content planning, approvals, scheduling, content calendar updates, and school communication alignment.
* Prepare professional letters, presentations, reports, agendas, minutes, and parent-facing communication materials.
* Coordinate departmental meeting schedules, correspondence, activity calendars, document distribution, and internal communication requirements.
* Monitor supplies and raise timely requests so the Customer Experience team has the resources needed for daily work and events.
* Maintain confidentiality when handling parent concerns, student information, feedback records, complaints, and internal school documentation.
* Use Microsoft Office, Excel trackers, CRM systems, admissions platforms, survey tools, and school systems to capture and monitor parent interactions.
* Flag errors, missing details, data gaps, delayed responses, or recurring concerns before they affect parent experience or leadership reporting.
* Help keep communication consistent, on-brand, parent-appropriate, and aligned with the school’s values and service standards.
* Identify practical ways to improve administrative flow, enquiry response, feedback tracking, event coordination, and reporting accuracy.
* Work collaboratively with school teams to ensure parent communication is timely, professional, empathetic, and solution-focused.
Ideal Profile
* High School Certificate or Diploma is required; bachelor’s degree is preferred.
* 3-5 years of experience in administration, customer service, customer experience support, or school operations.
* Previous school or education sector experience is preferred.
* Experience supporting parent relations, customer experience teams, reception, admissions, or family-facing services is desirable.
* Strong English communication skills, both written and spoken.
* Excellent organizational and administrative abilities with strong attention to detail.
* Confident ability to identify errors, missing information, and quality issues before documents or reports reach parents or leadership.
* Strong customer-service mindset with empathy for parent experience and a proactive approach to follow-up.
* Good working knowledge of Microsoft Office, especially Word, Excel, Outlook, and PowerPoint.
* Confident using Excel to build trackers, maintain reports, organize feedback data, and produce simple analysis.
* Comfortable using feedback and survey tools such as Qualtrics, along with CRM or admissions systems.
* Familiarity with social media scheduling, content calendars, approval workflows, and school-appropriate content coordination.
* Strong time management and prioritization skills, especially during busy admissions, events, and reporting periods.
* Ability to handle confidential information with professionalism, discretion, and care.
* Positive, calm, and solution-focused approach when dealing with parents, colleagues, leaders, and visitors.
* Experience using school systems is an advantage.
