Role Context
The Government Relations Executive - Compliance will support school operations by managing government-related documentation, regulatory follow-up, employee approvals, staff records, and compliance processes for Aldar Education Charter Schools. The role helps ensure that employees, school licenses, appointment letters, work permits, visas, Emirates IDs, medical insurance, and official records remain aligned with ADEK, KHDA, MOHRE, ICP, and other authority requirements. By maintaining accurate records and proactive follow-up, the position supports smooth school operations, regulatory readiness, and a strong compliance culture.
Key Responsibilities
* Follow and apply guidelines, policies, and regulations issued by Aldar Education, ADEK, KHDA, MOHRE, ICP, and other relevant regulatory bodies.
* Support awareness of policies, procedures, and compliance guidelines among staff and school management.
* Share updated rules, regulations, policy changes, and government requirements with relevant school teams.
* Liaise with ADEK, KHDA, MOHRE, ICP, and other government entities to support timely communication and effective working relationships.
* Provide information to regulatory bodies and respond to related requests in a professional and accurate manner.
* Maintain confidentiality and comply with policies related to security, data protection, employee records, and sensitive information.
* Support the Operations team with school licensing compliance according to relevant regulatory body guidelines.
* Report non-compliance issues and recommend practical solutions to improve compliance performance.
* Maintain high levels of integrity, confidentiality, professionalism, and service quality in all government relations activities.
* Maintain and monitor ADEK PASS Staff Information System or KHDA Staff Approval systems where applicable.
* Follow up on staff ADEK or KHDA approval issuance and communicate with employees regarding required documents.
* Ensure new employees comply with ADEK or KHDA staff eligibility policies before and during onboarding.
* Monitor employee appointment letters, approvals, work permits, residence visas, Emirates IDs, labour cards, and contracts to ensure all remain valid.
* Track expiry dates and coordinate timely renewals with employees, school teams, and relevant government systems.
* Liaise with school Operations teams to ensure external staff are approved and added to ADEK PASS or KHDA systems where applicable.
* Issue health screening appointment payment authorizations and coordinate with employees for new hire or renewal requirements.
* Ensure eligible employees are enrolled in medical insurance and that departed staff are cancelled in line with compliance requirements.
* Check alignment of employee job titles across ADEK appointment letters or KHDA approvals, MOHRE records, work permits, visas, Emirates IDs, and Aldar Education contracts.
* Escalate cases where employees fail to provide documents required for compliance with ADEK PASS, KHDA, MOHRE, ICP, or other regulatory bodies.
* Monitor school license Emiratisation percentage requirements and highlight potential fine risks immediately.
* Support school Operations teams with issuing and renewing licenses through authorities such as ADEK, KHDA, Civil Defence, DOH, DHA, DOT, RTA, and ADAFSA.
* Maintain employee filing, archiving, and document control so records are accurate, complete, and updated.
* Participate in training, learning activities, and performance development when required.
* Support the overall aims, ethos, and compliance culture of the school.
* Carry out additional duties assigned by the Leadership Team when required.
Ideal Profile
* Minimum diploma in Management, Business Administration, Human Resources, Office Management, or a related field.
* At least 2 years of proven experience in administration, HR, government relations, compliance coordination, or a similar role.
* Previous school experience, preferably within an ADEK or KHDA-governed environment, will be an advantage.
* Good understanding of ADEK, KHDA, MOHRE, ICP, and related UAE government procedures.
* Knowledge of staff approvals, appointment letters, work permits, residence visas, Emirates ID renewals, labour cards, contracts, and school licensing processes.
* Good Arabic and English communication skills, both written and verbal.
* Proficient computer skills with strong working knowledge of MS Office and relevant government or HR systems.
* Ability to handle sensitive and confidential information with discretion.
* Strong organizational skills with accurate follow-up and document control ability.
* High sense of urgency with the ability to manage deadlines, renewals, and compliance timelines.
* Strong customer service mindset with the ability to support employees, school leaders, and operations teams professionally.
* Good stress management and time management skills.
* Demonstrated ability to work as part of a team and coordinate with multiple stakeholders.
* Strong problem-solving skills and practical judgment in compliance-related situations.
* Valid UAE driving license is preferred.
