Role Context
The Principal Secretary - School Administration will support the Principal with correspondence, scheduling, documentation, communication, visitor handling, and general school administration. The role requires a dependable candidate who can maintain confidentiality, coordinate efficiently with staff and parents, handle school records accurately, and support smooth day-to-day operations. The successful candidate should be physically present in the UAE, available to join immediately, and preferably under sponsor or spouse visa.
Key Responsibilities
* Provide direct administrative and secretarial support to the School Principal.
* Manage the Principal’s calendar, appointments, meetings, reminders, and daily schedules.
* Handle incoming calls, emails, visitors, and official correspondence in a professional manner.
* Prepare letters, memos, reports, meeting notes, circulars, and other school documents as required.
* Maintain confidential records, files, documents, and communication related to school operations.
* Coordinate with teachers, parents, students, administrative staff, and school leadership on behalf of the Principal.
* Assist in organizing meetings, parent appointments, school events, leadership discussions, and administrative activities.
* Receive and guide visitors while maintaining a courteous and professional front-office approach.
* Support daily school office operations, including documentation, filing, follow-ups, and communication tracking.
* Take meeting notes when required and prepare clear summaries or action points for circulation.
* Maintain accurate records of correspondence, approvals, schedules, and administrative requests.
* Support the Principal with timely completion of assigned tasks and follow-up with relevant departments.
* Assist with school communication, staff coordination, parent queries, and internal announcements.
* Use MS Office and school systems to prepare documents, update records, and manage administrative information.
* Follow school policies related to confidentiality, safeguarding, communication, documentation, and professional conduct.
Ideal Profile
* Bachelor’s degree in any subject is mandatory.
* Minimum 1 year of UAE experience in a similar role is mandatory.
* Previous experience as a Principal Secretary, School Secretary, Executive Secretary, or Administrative Assistant will be an advantage.
* Female candidates under sponsor or spouse visa are preferred.
* Candidate should be physically present in the UAE.
* Ability to join immediately is required.
* Strong English communication and interpersonal skills.
* Good organizational skills with the ability to manage schedules, documents, and multiple tasks.
* Strong attention to detail, confidentiality, and professional office etiquette.
