Role Context
The Receptionist provides the first professional welcome to families and visitors while ensuring that important front-office and attendance processes operate accurately throughout the school day. The position combines customer service with detailed administrative work, requiring reliable communication between parents, teaching teams, leadership, and other school departments.
Attendance monitoring is a particularly important part of the role. Accurate records, timely follow-up on unexplained absences, management of late arrivals and early collections, and compliance with ADEK requirements all contribute directly to safeguarding, student welfare, and effective school administration.
Key Responsibilities
* Welcome pupils, parents, visitors, contractors, and other guests professionally at the Pre-Prep reception.
* Serve as the main contact point for parent, staff, and leadership enquiries relating to student attendance.
* Monitor and update daily attendance information across approved school systems including iSAMS and Engage.
* Follow up promptly on unexplained student absences and maintain accurate communication records.
* Escalate relevant attendance patterns and recurring concerns to senior leadership and Heads of Year.
* Maintain punctuality records and support the preparation of follow-up correspondence to parents when required.
* Coordinate late student arrivals and early collections using established sign-in and sign-out procedures.
* Prepare daily absence reports and distribute them to designated departments and school leaders.
* Maintain attendance records for school trips, examinations, events, activities, and other scheduled programs.
* Work with ADEK-related systems and administrative processes to support regulatory attendance requirements.
* Answer telephone calls professionally and route enquiries to the appropriate member of staff or department.
* Respond to email enquiries accurately, courteously, and within expected school communication standards.
* Manage visitor access procedures and ensure safeguarding protocols are followed at reception.
* Issue visitor identification badges and verify that sign-in requirements are completed correctly.
* Maintain awareness of visitors entering and leaving the school site.
* Handle confidential pupil, parent, employee, and school information with appropriate discretion.
* Support the Pre-Prep administration team with filing, printing, document preparation, correspondence, and routine office tasks.
* Assist with preparation for school events, meetings, activities, and parent-facing functions.
* Keep reception areas organised, presentable, and ready to support daily school activity.
* Communicate clearly with academic, pastoral, administrative, and leadership teams throughout the school day.
* Attend administrative and pastoral meetings when required.
* Maintain accurate records and identify discrepancies before they affect attendance reporting or communication.
* Apply school safeguarding and child protection procedures consistently in all front-office activities.
* Remain calm and professional when managing simultaneous enquiries, changing priorities, or sensitive situations.
Ideal Profile
Candidates should hold an O Level, NVQ, High School Diploma, or equivalent qualification.
Approximately 1-2 years of experience within a school, customer service, reception, front office, or similar administrative environment is preferred.
Fluent spoken and written English is required, while Arabic language capability will be an advantage.
Experience using school information systems such as iSAMS, Engage, or SIMS is particularly valuable because the role requires accurate daily handling of student attendance and administrative data.
The successful candidate should demonstrate strong organisation, attention to detail, professional telephone etiquette, and confidence when communicating with parents, staff, visitors, and senior colleagues.
The ability to handle confidential information responsibly, manage several priorities simultaneously, and remain composed during busy periods is essential.
