Role Context

The Secretary plays a vital role in maintaining efficient school administration by supporting Directors and Group School Principals with scheduling, communication, reporting, and operational coordination. This position requires strong confidentiality, attention to detail, and knowledge of education sector compliance including KHDA standards, school procedures, and academic operations across British curriculum and CBSE schools.

Key Responsibilities

Coordinate meetings, strategic activities, and executive schedules for Directors and school leadership teams.

Organize and manage calendar appointments, events, and professional communication requirements.

Draft letters, reports, proposals, official memos, and business correspondence with accuracy and professionalism.

Handle confidential information with discretion and maintain high standards of professionalism in all interactions.

Prepare and distribute documents, notices, presentations, and reports for internal and external stakeholders.

Support Group School Principals and administrative teams with planning, coordination, and information sharing.

Answer phone calls, emails, and visitor inquiries professionally while representing the office positively.

Manage filing systems, records, office documentation, and workflow improvements for better efficiency.

Take meeting minutes, prepare final records, and circulate briefing papers and official reports.

Act as the first point of contact between the Board of Directors and internal or external stakeholders.

Conduct background research and prepare findings, summaries, and presentation materials when required.

Ensure compliance support related to KHDA regulations, school inspections, curriculum requirements, and standard operating procedures.

Ideal Profile

Bachelor’s or Master’s degree from an accredited university is required.

Minimum 5 years of practical experience in secretarial or executive support roles.

Previous experience in the education sector is strongly preferred.

Strong understanding of KHDA regulations, school inspection frameworks, and educational compliance requirements.

Excellent verbal and written communication skills in English.

Advanced proficiency in Microsoft Office tools including Word, Excel, PowerPoint, and Outlook.

Strong organizational and multitasking abilities in a fast-paced environment.

Excellent problem-solving skills with independent decision-making ability.

High level of confidentiality, professionalism, and attention to detail.
