Role Context
The Secretary plays an important role in supporting school leadership by managing executive schedules, communication, documentation, and administrative coordination across multiple functions. This position ensures operational efficiency, confidentiality, and professional standards while maintaining strong collaboration with principals, staff, and stakeholders across the education group.
Key Responsibilities
Manage calendar appointments, meetings, and strategic activities for Group School Principals and senior leadership.
Coordinate professional communication, correspondence, and public relations requirements for executive offices.
Prepare letters, reports, proposals, presentations, and official documentation with strong attention to detail.
Support oral and written communication with internal teams, external stakeholders, and prospective partners.
Maintain confidentiality and professionalism in all executive and administrative duties.
Prioritize multiple tasks efficiently while ensuring timely completion of assignments.
Prepare and distribute memos, notices, and important operational documents.
Assist colleagues with planning, scheduling, and distribution of key information across departments.
Answer calls, emails, and official communications professionally and respond effectively to office staff and visitors.
Improve office systems, filing structures, documentation workflows, and resource management processes.
Welcome and coordinate visitors and stakeholders at all levels of seniority.
Take meeting minutes and prepare final records for circulation and follow-up action.
Act as the first point of contact between senior leadership and internal or external stakeholders.
Support compliance with KHDA regulations, school inspection frameworks, and standard operating procedures.
Assist with curriculum-related coordination, resource management, and school operational compliance.
Ideal Profile
Bachelor’s or Master’s degree from an accredited university is required.
Previous experience in a similar secretarial role within the education sector is highly preferred.
Strong understanding of secretarial duties, executive coordination, and office administration is essential.
Knowledge of KHDA regulations, school inspection frameworks, and school operational procedures is required.
Excellent verbal and written professional communication skills in English are mandatory.
Advanced proficiency in MS Office tools and professional documentation management is required.
Strong problem-solving skills and ability to work independently with minimal supervision.
Highly organized with strong multitasking and time management abilities.
Excellent research skills and attention to detail are essential.
Ability to work effectively in a fast-paced multicultural environment.
