Role Context
The Secretary - School Administration will provide high-level administrative and secretarial support to Directors, Group School Principals, and senior stakeholders. The role requires strong knowledge of school operations, KHDA regulations, inspection frameworks, standard operating procedures, curriculum requirements, compliance, resource coordination, and professional communication. The successful candidate will manage calendars, prepare documents, coordinate meetings, handle correspondence, support events, maintain confidentiality, and ensure timely completion of administrative tasks in a fast-paced school environment.
Key Responsibilities
* Coordinate meetings, appointments, strategic activities, leadership schedules, and school-related events.
* Manage calendar appointments and support the professional communication and public relations needs of Directors.
* Draft letters, reports, proposals, memos, briefing papers, presentations, and other official documents.
* Coordinate oral and written communication with prospects, internal teams, parents, visitors, and external stakeholders.
* Act as the first point of contact between the Board of Directors and internal or external stakeholders.
* Handle incoming phone calls, emails, visitor interactions, and official correspondence in a professional and courteous manner.
* Correspond on behalf of senior leadership when required while maintaining accuracy, tone, and confidentiality.
* Take minutes of meetings or hearings and prepare final documents for circulation.
* Prepare and disseminate memos, documents, reports, presentations, and communication materials.
* Assist colleagues with planning, organizing, distributing information, and completing administrative tasks.
* Support Group School Principals with administrative coordination, documentation, and communication follow-up.
* Maintain professional filing systems, improve office systems, and support resource management where required.
* Carry out background research, compile information, and present findings clearly to leadership.
* Prioritize multiple assignments with attention to detail, accuracy, deadlines, and confidentiality.
* Support compliance-related documentation connected to school procedures, KHDA expectations, inspection frameworks, and internal operating standards.
* Meet and greet visitors at different levels of seniority and represent the school group professionally.
* Maintain confidentiality across all duties involving leadership communication, employee information, school documents, and stakeholder matters.
* Work collaboratively with teams across the group while adapting to different cultures, departments, and operational needs.
Ideal Profile
* Bachelor’s or Master’s degree from an accredited university.
* Minimum 5 years of hands-on secretarial, executive assistant, or senior administrative experience.
* Previous experience in a similar role within the education sector is preferred.
* Good understanding of KHDA regulations, school inspection frameworks, school standard operating procedures, curriculum requirements, compliance, and resource management.
* Excellent verbal and written professional communication skills in English.
* Advanced proficiency in MS Office tools including Word, Excel, PowerPoint, Outlook, and document formatting.
* Strong calendar management, meeting coordination, documentation, filing, and presentation preparation skills.
* Ability to complete assignments on time with minimal supervision.
* Excellent problem-solving ability and capacity to work independently.
* Detail-oriented approach with strong research, organization, follow-up, and information management skills.
