Role Context
The Trainee Counselor provides structured emotional, social, behavioral and academic
support to trainees during both campus-based education and On-the-Job Training. The position identifies early signs of disengagement, attendance problems or performance decline and develops intervention plans before issues escalate. By coordinating closely with trainees, guardians, instructors and support departments, the role helps strengthen retention, wellbeing, personal responsibility and successful completion of vocational training programs.
Key Responsibilities
* Provide individualized counseling to trainees experiencing emotional, behavioral, social or academic challenges.
* Develop structured support and improvement plans based on individual trainee needs.
* Conduct regular trainee check-ins to monitor wellbeing, attendance, performance and adjustment.
* Visit On-the-Job Training locations to provide direct counseling and support to trainees.
* Support trainees who receive final warnings relating to attendance, behavior or academic performance.
* Follow disciplinary cases before and after committee decisions and develop appropriate rehabilitation plans.
* Respond promptly to trainee concerns through appointments, walk-ins and approved digital communication channels.
* Maintain confidential and supportive environments that encourage trainees to discuss personal and academic concerns.
* Refer high-risk cases to appropriate specialist professionals when additional support is required.
* Maintain follow-up contact after referrals to monitor trainee progress.
* Design and deliver wellbeing programs focused on resilience, stress management and positive mental health.
* Organize awareness campaigns covering personal safety, emotional intelligence and responsible behavior.
* Monitor trainee information through the Trainee Information System to identify attendance, behavioral or performance concerns.
* Analyze trainee patterns and recommend early intervention before issues develop into withdrawal or termination risks.
* Coordinate with academic staff and Student Services Officers when trainees require multidisciplinary intervention.
* Complete disciplinary committee documentation and termination reports accurately and within required timelines.
* Provide counseling perspectives during disciplinary discussions when requested.
* Monitor compliance with conditions or rehabilitation requirements following disciplinary decisions.
* Deliver life skills sessions covering communication, emotional intelligence, conflict resolution, time management and soft skills.
* Align personal development sessions with trainee needs and institutional objectives.
* Conduct orientation sessions covering academy policies, expectations and codes of conduct.
* Encourage trainees to understand and demonstrate institutional values and behavioral standards.
* Communicate with guardians regarding wellbeing, attendance, behavioral and academic concerns.
* Develop joint action plans with parents and guardians to support trainee success.
* Coordinate with relevant departments to resolve academic, financial, disciplinary and logistical issues affecting trainees.
* Maintain secure and confidential records of counseling sessions, referrals, case notes and follow-up actions.
* Respond promptly to internal and external correspondence relating to trainee cases.
* Mentor Trainee Council members and support their leadership and teamwork development.
* Assist with planning Trainee Council activities aligned with academy values and trainee interests.
* Participate in academy events, exhibitions, registration activities, induction programs, open days and national initiatives.
* Represent the counseling function in strategic and cross-functional institutional activities.
* Generate regular reports on counseling cases, wellbeing trends and intervention outcomes.
* Analyze counseling data to identify recurring trainee needs and opportunities to improve support services.
* Share effective counseling methods and best practices with colleagues to improve consistency across the function.
* Support continuous improvement of trainee retention, wellbeing and intervention processes.
Ideal Profile
* B.A. in Psychology, Social Science or an equivalent discipline.
* Minimum 8 years of relevant counseling experience.
* Preferably at least 5 years of experience within a vocational training center associated with the Oil and Gas industry.
* Strong experience providing individual counseling to young adults or vocational trainees.
* Demonstrated ability to manage behavioral, emotional, academic and attendance-related cases.
* Experience developing personalized intervention and rehabilitation plans.
* Practical knowledge of student or trainee wellbeing programs.
