Role Context
The Store In Charge - School
Key Responsibilities
* Manage the daily operation of the school storeroom and associated inventory areas.
* Receive academic materials, office supplies, equipment and operational goods from approved vendors.
* Verify deliveries against purchase orders, invoices and delivery documentation.
* Inspect received items for quantity, quality, condition and specification accuracy.
* Record incoming and outgoing stock accurately within the designated inventory system.
* Organise materials by category, usage frequency and storage requirements.
* Label shelves, bins and stock items to support efficient identification and retrieval.
* Issue supplies only against authorised requests and maintain complete supporting records.
* Coordinate with teaching, administration, facilities and support teams regarding material requirements.
* Monitor stock levels and identify items approaching minimum reorder quantities.
* Prepare replenishment requests before critical supplies become unavailable.
* Conduct scheduled physical stock counts and reconcile findings against system balances.
* Investigate stock variances, missing materials and documentation discrepancies.
* Maintain accurate stock registers, issue records, delivery notes and inventory reports.
* Ensure high-value, fragile or sensitive items are stored securely.
* Apply first-in, first-out procedures where appropriate.
* Identify damaged, obsolete or surplus stock and report it for approved action.
* Support the disposal or transfer of materials in accordance with school procedures.
* Keep storerooms clean, orderly, safe and accessible.
* Follow health and safety requirements when storing or moving materials.
* Coordinate with procurement and finance teams to resolve delivery or invoice issues.
* Support annual budgeting by providing stock usage and replenishment information.
* Prepare inventory summaries and operational reports for school management.
* Assist with the distribution and recovery of textbooks, learning resources and school equipment.
* Maintain confidentiality and protect school property from loss or unauthorised use.
* Use computers and inventory tools to update records and produce reports.
* Participate in school events and community activities when operational support is required.
* Build cooperative working relationships with colleagues, students, parents and suppliers.

* Carry out additional storekeeping and operational responsibilities assigned by management.
Ideal Profile
* Bachelor\'s degree or an equivalent Grade 12 secondary school qualification.
* 3-4 years of experience in storekeeping, inventory control or a comparable position.
* Practical knowledge of receiving, storage, stock issuance and inventory reconciliation.
* Ability to maintain accurate records and supporting documentation.
* Competence using computers, spreadsheets and inventory management tools.
* Strong organisational skills and attention to detail.
* Ability to manage multiple requests while protecting stock accuracy.
* Good interpersonal skills for working with colleagues, students and parents.
* Responsible approach to school assets, supplies and confidential information.
* Ability to work independently and contribute effectively within a team.
* Clear communication skills for coordinating with vendors and internal departments.
* Practical problem-solving ability when handling shortages or delivery discrepancies.
