Position Overview

The Admin Executive plays an important role in maintaining smooth administrative operations by managing lease documentation, facilities coordination, and office support functions. This role ensures accurate data handling, vendor compliance, timely renewals, and efficient office maintenance while supporting strong operational continuity and workplace standards across offices, warehouses, camps, and showrooms.

Key Responsibilities

* Assist in preparing lease renewal documentation for offices, camps, warehouses, and showrooms while coordinating payment releases
* Ensure all lease agreements are created, updated, and properly tracked within REFX systems
* Verify that leases are attested according to the legal requirements of each Emirate
* Support office relocations, furnishing, refurbishments, and maintenance of premises according to approved standards
* Maintain accurate and secure administrative records with consistent updates and error-free documentation
* Prepare monthly reports covering key administrative metrics, lease compliance, and facility management updates
* Manage Annual Maintenance Contracts for HVAC, MEP systems, IT infrastructure, waste management, and pest control services
* Coordinate with vendors, monitor service quality, and ensure compliance with contract terms and cost efficiency
* Create Purchase Requisitions for HR and Admin services and verify supplier invoices for payment processing
* Ensure timely payment of utility bills and telecommunications services to prevent operational disruptions
* Maintain stock records for stationery and cafeteria supplies and coordinate replenishment based on usage trends

Ideal Profile

* Bachelor’s degree in Business Administration, Facilities Management, or a related field
* Previous experience in administration, property coordination, or facilities support roles preferred
* Strong organizational and systematic approach to handling multiple responsibilities
* High attention to detail with strong accuracy in data management and reporting
* Good understanding of vendor coordination and service agreement compliance
* Proficiency in Microsoft Office, especially Word and Excel
* Strong communication and teamwork skills in collaborative work environments
* Positive attitude with problem-solving ability and professional stakeholder management
