The Facility Maintenance Specialist

Working closely with the Facilities Manager, the specialist ensures that repair needs are prioritized according to operational impact and that maintenance actions are completed efficiently, accurately recorded, and supported by adequate materials and equipment.
Key Responsibilities
* Coordinate day-to-day maintenance activities across educational buildings, campuses, and supporting infrastructure.
* Maintain regular communication with management regarding maintenance progress, schedules, budget considerations, delays, and critical operational issues.
* Work with the Facilities Manager to review and prioritize repair requests according to urgency, operational impact, safety, and available resources.
* Track planned and reactive maintenance activities from initial request through completion.
* Maintain detailed logs covering repair status, outstanding actions, completion dates, technical findings, and follow-up requirements.
* Prepare structured weekly maintenance reports for review by the Facilities Manager.
* Monitor facility conditions and identify recurring defects, equipment concerns, or maintenance risks requiring corrective action.
* Support effective allocation of technicians, equipment, materials, and other maintenance resources.
* Maintain appropriate inventory levels for maintenance supplies, spare parts, tools, and operational equipment.
* Coordinate procurement of required maintenance materials following approval from the Facilities Manager.
* Help prevent service interruptions by ensuring critical maintenance materials and equipment remain available when needed.
* Provide technical advice to maintenance personnel on repair methods, operating procedures, and facility maintenance standards.
* Monitor maintenance workmanship and verify that completed repairs meet expected technical and operational requirements.
* Support preventive maintenance practices designed to extend equipment life and reduce unplanned breakdowns.
* Coordinate corrective maintenance when systems or facilities experience faults, deterioration, or service disruptions.
* Oversee assigned technical staff and ensure responsibilities are clearly communicated.
* Support training and technical development of maintenance personnel to strengthen team capability.
* Participate in staff evaluations and provide feedback regarding competency, performance, and development needs.
* Maintain accurate maintenance records and supporting documentation for operational review and audit purposes.
* Coordinate with relevant internal teams, contractors, and service providers when specialist maintenance support is required.
* Monitor maintenance expenditure within assigned responsibilities and report issues that may affect approved budgets.
* Promote compliance with facility procedures, technical standards, safety requirements, and established maintenance practices.
* Carry out additional facility management responsibilities required to maintain safe and reliable campus operations.
Ideal Profile
Candidates should hold a Bachelor\'s degree in Engineering, Facilities Management, Maintenance Engineering, or a related discipline.
The position requires approximately 10-15 years of substantial Facilities Management experience with a strong record of operating, maintaining, and managing educational facilities.
Applicants should have direct exposure to schools, universities, campuses, academic buildings, or comparable multi-building environments with complex operational requirements.
Strong knowledge of planned and reactive maintenance is required, together with the ability to prioritize repair requests, coordinate resources, maintain maintenance records, and support reliable service delivery.
Candidates should understand technical maintenance practices across building systems and be capable of providing practical guidance to technicians and other facilities personnel.
