The Bell Attendant supports the complete guest journey rather than simply moving luggage. Arriving visitors may need help with baggage, parking, directions, transportation, room access, or unfamiliar hotel facilities. Departing guests depend on the same team for properly identified bags, timely collection, secure storage, and organized vehicle arrangements.
Strong coordination is essential because luggage release, room access, guest accounts, transportation, and special requests involve several hotel departments. Careful execution protects personal property, reduces security risks, and ensures that every guest receives prompt assistance in a busy lobby environment.
Key Responsibilities
* Welcome guests and visitors warmly upon arrival and acknowledge them courteously when they leave.
* Assist with loading, unloading, transporting, storing, and retrieving guest luggage.
* Attach an approved baggage claim tag to every item accepted for handling or storage.
* Issue the corresponding claim receipt and verify ownership before releasing stored belongings.
* Maintain orderly luggage-room controls and protect baggage from loss, damage, or unauthorized access.
* Handle fragile, valuable, oversized, or unusual items according to hotel procedures.
* Record luggage movements accurately, including temporary storage and delayed collection.
* Escort arriving guests to their assigned rooms and place baggage where it can be unpacked conveniently.
* Introduce first-time visitors to the hotel\'s principal facilities, services, and operating hours.
* Explain essential room features, including lighting, television controls, air conditioning, safe operation, and emergency exits.
* Respect guest privacy and avoid unnecessary handling of personal belongings.
* Collect luggage promptly when guests request departure assistance.
* Coordinate bag release with Front Office when scanty-baggage or payment-protection procedures apply.
* Confirm that departing luggage is directed to the correct guest, vehicle, or authorized representative.
* Deliver messages, newspapers, parcels, packages, and approved guest items within the required timeframe.
* Record deliveries where acknowledgement or proof of receipt is required.
The position also provides practical concierge and lobby support.
* Answer telephone calls received at the Concierge desk professionally.
* Respond to guest questions concerning hotel services, facilities, directions, and transportation.
* Arrange limousine services, shuttle buses, taxis, and car rentals through approved providers.
* Confirm transport details carefully, including pickup time, destination, passenger count, and luggage requirements.
* Provide lobby paging services under the supervision of the Concierge team.
* Help guests identify suitable hotel facilities and recommend relevant services when appropriate.
* Use suggestive selling techniques to introduce dining, transport, leisure, or other available options naturally.
* Park guest and visitor vehicles only in designated areas and according to applicable hotel controls.
* Protect vehicle keys and related records from unauthorized access.
* Direct guests, visitors, and event participants to the correct hotel area.
* Maintain continuous awareness of arrivals, departures, groups, functions, occupancy levels, and VIP movements.
* Review the daily hotel briefing and understand important operational messages.
* Identify special assignments at the beginning of each shift and complete them within the required timeframe.
* Check concierge equipment and report damaged, missing, or unsafe items.
Guest concerns must receive immediate and professional attention.
* Listen carefully to complaints, requests, and service difficulties without interrupting the guest.
* Resolve routine matters within the authority of the position.
* Contact the responsible department promptly when another team must take action.
* Follow up to confirm that the request has been completed satisfactorily.
* Report serious, repeated, sensitive, or unresolved complaints to the manager.
* Communicate unusual occurrences, suspicious behaviour, security concerns, and exceptional requests to the Concierge desk.
* Remain calm and helpful when dealing with delays, misplaced baggage, transport changes, or demanding situations.
* Maintain contact with affected guests until an appropriate solution has been provided.
Accurate records and disciplined shift communication are essential.
* Read the Concierge logbook at the start of duty and identify pending matters.
* Update the logbook with complete, factual, and useful operational information.
* Prepare daily Concierge desk reports and file supporting documents systematically.
* Pass unresolved requests, expected deliveries, transportation bookings, and special instructions to the next shift.
* Report significant incidents and operational developments to the Assistant Front Office Manager or Front Office Manager.
* Maintain confidentiality when handling guest names, room numbers, travel arrangements, and personal information.
* Keep the Concierge desk, lobby work area, luggage store, and associated equipment clean and organized.
* Follow hotel accident-prevention, fire-safety, first-aid, emergency, and security procedures.
* Maintain excellent grooming, correct uniform standards, and a cheerful professional manner.
* Attend scheduled training, briefings, and departmental meetings.
* Cooperate respectfully with Front Office, Housekeeping, Security, Transportation, Reservations, and other hotel teams.
* Remain informed about daily activities and maintain accurate knowledge of all hotel facilities.
Ideal Profile
Applicants should hold a university degree in any field and have at least one year of experience in a comparable bell desk, concierge, guest services, or front office position within a four-star or five-star hotel.
The preferred candidate will combine physical readiness with careful guest communication. They should be comfortable handling luggage throughout a busy shift, maintaining detailed claim controls, escorting guests professionally, and explaining hotel facilities clearly.
