Role Context
The Engineering Coordinator supports the smooth flow of information between the engineering team and other hotel
Key Responsibilities
* Coordinate maintenance requests with hotel departments through approved communication and telecommunications systems.
* Follow up on engineering issues to help ensure faults and maintenance requirements are assigned and resolved efficiently.
* Coordinate the temporary removal of guest rooms from service when maintenance work prevents normal occupancy.
* Communicate with relevant departments when major system shutdowns, repairs, upgrades, or engineering improvements are scheduled.
* Support maintenance planning by ensuring operational teams receive timely information about work that may affect hotel services.
* Maintain accurate purchase order logs and supporting engineering records.
* File completed purchase orders following payment and verify that order information corresponds with packing slips and received goods.
* Enter and retrieve engineering and maintenance information using computers, hotel systems, and point of sale applications where required.
* Prepare, review, and maintain accurate written documentation associated with engineering activities.
* Answer telephone calls professionally and direct maintenance-related information to the appropriate person or department.
* Report maintenance problems, safety hazards, accidents, injuries, damaged equipment, and unsafe conditions promptly.
* Follow procedures for safe storage and handling of flammable materials.
* Conduct visual checks of tools, equipment, and machinery and report visible defects or abnormalities.
* Follow established safety, security, engineering, and quality assurance procedures.
* Complete required workplace safety training and certifications.
* Support guests when engineering or maintenance requirements affect their experience and coordinate requests with operational teams.
* Maintain professional communication and constructive relationships with colleagues across hotel departments.
* Protect confidential information, company records, equipment, and other business assets.
* Assist colleagues and supervisors with additional engineering administration and facilities coordination duties as operational requirements change.
Ideal Profile
This position is best suited to an organized individual who understands maintenance environments and can combine technical coordination with accurate administrative work.
* High school diploma, G.E.D., or equivalent qualification is preferred.
* At least 2 years of related work experience.
* Previous supervisory experience is not required.
* No specific professional license or certification is required.
* Experience supporting engineering, maintenance, facilities, or hotel operations is advantageous.
* Ability to coordinate maintenance activities across several departments while keeping information accurate and current.
* Comfortable maintaining purchase order records, matching documents, and organizing supporting files.
* Working knowledge of computer-based record systems and routine office applications.
* Strong verbal communication for handling maintenance requests, shutdown notifications, and interdepartmental coordination.
* Ability to prepare and review written information carefully and accurately.
* Awareness of workplace safety, equipment hazards, and proper handling of potentially flammable materials.
* Guest-focused approach when maintenance activity affects room availability or hotel services.
* Able to work independently while maintaining close cooperation with engineering and operational colleagues.
