Role Context

The People and Culture Executive supports the hotel in attracting, hiring, onboarding, and retaining the workforce required for successful daily operations. The position manages recruitment from approved manpower requisition through sourcing, screening, assessment, offer preparation, documentation, visa coordination, and new hire integration.

Beyond recruitment, the role provides operational HR support covering payroll inputs, employee leave, insurance administration, engagement programs, travel arrangements, wellness initiatives, and confidential personnel records. Accurate execution directly supports staffing levels, employee experience, regulatory compliance, and operational continuity.

Key Responsibilities

* Conduct salary and benefits benchmarking against comparable hotels and employers in the local market.
* Analyze compensation information to help maintain competitive employment offers within approved structures.
* Partner with Department Heads to review, update, and prepare job descriptions reflecting current operational requirements and brand standards.
* Track departmental manpower requisitions and verify alignment with approved headcount budgets.
* Confirm required leadership approvals before recruitment activity begins.
* Publish vacancies through approved applicant tracking systems, professional networks, and relevant recruitment platforms.
* Build candidate pipelines for operational, administrative, and specialist hotel positions.
* Manage high-volume recruitment activity across multiple vacancies simultaneously.
* Review applications and shortlist candidates against position requirements.
* Conduct initial screening interviews covering experience, capabilities, communication skills, language proficiency, and suitability.
* Administer and follow up on technical, behavioral, and language assessments where required.
* Track assessment completion and maintain accurate candidate records.
* Prepare employment offer letters and contracts according to approved company procedures.
* Coordinate candidate communication during offer and negotiation stages.
* Collect and verify passports, educational certificates, experience letters, visa cancellation documents, clearances, and other required employment records.
* Conduct professional reference checks and employment background verification.
* Maintain accurate recruitment documentation and candidate audit trails.
* Coordinate new hire sign-in and ensure required employment and internal documentation is completed correctly.
* Enter and verify onboarding information within relevant HR systems.
* Work with Government Relations on employment visa documentation for local and overseas hires.
* Coordinate medical records, certificates, entry permits, residence visa requirements, and related employee documentation.
* Track visa applications and follow up with candidates, hiring departments, and Government Relations to prevent avoidable delays.
* Coordinate employee orientation schedules with Learning and Development.
* Work with Housing and Accommodation teams to prepare staff accommodation for incoming employees.
* Complete accurate monthly payroll data entry into the HR information system.
* Review employee action forms relating to salary adjustments, transfers, rehires, and termination payments.
* Track annual leave, sick leave, unpaid leave, and other authorized employee absences.
* Ensure required approvals are obtained before leave information is updated.
* Escalate payroll cutoff or leave parameter changes to the Director of People and Culture for approval.
* Administer medical insurance enrollment for new employees and deletion for departing employees.
* Assist colleagues with medical reimbursement claims and health card matters.
* Coordinate with insurance providers when employee claims require additional support.
* Promote employee health, safety, wellness, and injury prevention initiatives.
* Assist with flight bookings for annual leave, business travel, deployment, and employee repatriation.
* Coordinate with approved travel agencies and track applicable ticket refunds or travel credits.
* Develop a monthly calendar of employee engagement, recognition, and team-building activities.
* Organize internal lifestyle and wellbeing programs, including workshops and educational activities.
* Coordinate guest speakers, materials, and logistical requirements for employee programs.
* Support community initiatives including environmental activities, blood donation campaigns, and other corporate responsibility programs.
* Maintain confidential personnel correspondence and employee files in an organized manner.
* Protect sensitive candidate, compensation, payroll, medical, and employee information at all times.

Ideal Profile

* Bachelor\'s Degree in Human Resources, Business Administration, or a related field.
* Minimum one year of professional experience in People and Culture, Human Resources, or a Recruitment Executive position.
* Practical experience managing recruitment from vacancy creation through candidate onboarding.
* Strong knowledge of candidate sourcing, CV screening, interviewing, and assessment coordination.
* Able to manage multiple vacancies and recruitment pipelines concurrently.
* Experience working with applicant tracking systems is advantageous.
* Smart Recruiter or previous Accor systems experience is preferred.
* Previous recruitment experience within Hospitality, hotels, or luxury service businesses is valuable.
* Exposure to payroll administration and employee leave systems is advantageous.
* Understanding of employment documentation and UAE visa coordination is preferred.
* Experience supporting employee engagement, recognition, or wellness programs is beneficial.
* Strong organizational skills and disciplined follow-up.
* Excellent written and spoken English.
* Additional language capabilities are advantageous.
* Able to communicate confidently with candidates, employees, Department Heads, external providers, and management.
* High level of discretion when handling salaries, employee records, medical information, and other confidential HR documentation.
