Accurate purchasing administration has a direct impact on hotel operating costs, inventory availability and service continuity. The coordinator therefore combines supplier communication, market research and documentation control with disciplined follow-up to reduce purchasing delays and support commercially responsible sourcing decisions.
Key Responsibilities
* Support day-to-day hotel procurement requirements in accordance with approved purchasing procedures.
* Obtain competitive quotations from suppliers for goods, materials and services requested by hotel departments.
* Compare prices, specifications, availability, delivery schedules and commercial terms before purchasing decisions are made.
* Conduct market surveys to identify suitable suppliers and benchmark current pricing.
* Assist the Purchasing Manager with negotiations aimed at achieving competitive commercial terms.
* Prepare and coordinate purchase orders against approved purchasing requests.
* Communicate with suppliers to confirm quantities, specifications, pricing and expected delivery dates.
* Track outstanding orders and follow up promptly on items that have not been delivered as scheduled.
* Inform relevant internal departments of important changes to order status or delivery timing.
* Support vendor registration and ensure required supplier information is properly documented.
* Maintain current supplier profiles, contact information and commercial records.
* Keep supplier catalogs, price lists and product references updated for purchasing use.
* Maintain accurate records of quotations, purchase orders and related procurement correspondence.
* Assist with cost-control activities by identifying pricing differences and potential purchasing efficiencies.
* Review purchasing documentation for completeness and accuracy before processing.
* Coordinate with receiving and inventory teams to support accurate delivery and stock records.
* Work with Finance and operational departments when purchasing documentation requires clarification or reconciliation.
* Record supplier delivery concerns and escalate recurring performance issues to the Purchasing Manager.
* Maintain organized procurement files to support internal controls and document retrieval.
* Protect confidential information relating to supplier pricing, negotiations and commercial agreements.
* Support efficient inventory planning by maintaining accurate procurement information and monitoring purchasing requirements.
* Follow Accor policies, purchasing controls and applicable hotel procedures throughout the procurement process.
* Provide additional purchasing support when operational priorities or business volumes require it.
Ideal Profile
The position is suited to a procurement professional with a diploma or degree in Hospitality, Procurement or a related field and approximately 2-5 years of relevant experience, depending on education and previous career exposure.
Practical experience in purchasing, procurement administration, supplier coordination or hotel supply operations is valuable. Candidates should understand how to obtain quotations, compare commercial offers, process purchasing documentation and follow orders through to delivery.
Strong attention to detail is essential when maintaining supplier information, purchase orders, catalogs and inventory-related records. The role also requires the ability to manage several purchasing requests simultaneously without losing accuracy or follow-up discipline.
Candidates should be comfortable communicating with suppliers and coordinating requirements across multiple internal departments. Fluency in English is required for professional correspondence, purchasing documentation and day-to-day business communication.
