The Human Resources Coordinator - Hiring Support assists the HR leadership team with daily people operations, recruitment process coordination, employee documentation, onboarding support, transfer requests, payroll records, and internal HR communication. The role helps managers and employees navigate HR procedures while maintaining compliance, confidentiality, and accurate records. In a luxury hospitality setting, this position supports a positive associate experience and helps keep hotel staffing, documentation, and HR administration running efficiently.
Key Responsibilities
* Assist management and the leadership team with Human Resources issues, employee questions, and routine HR support needs.
* Support employees with internal and external transfer requests, procedures, documentation, and follow-up.
* Assist managers and supervisors with hiring processes, recruitment coordination, and hiring-related issues.
* Coordinate applicant screening steps such as reference checks, background checks, drug screens, motor vehicle checks, and required verification processes.
* Maintain applicant flow logs, orientation records, transfer request logs, screening records, and other HR tracking documents.
* Create, update, and maintain new hire files, personnel files, employee records, and related HR documentation.
* Enter employee and new hire information into Human Resources Information Systems accurately and on time.
* Assist with new employee orientation, onboarding preparation, HR process briefings, and basic employee guidance.
* Monitor hiring and recruitment processes for compliance with company policies, property standards, and applicable employment requirements.
* Maintain employee records and files such as interview documents, verification documents, and employment-related paperwork.
* Support payroll record processing and maintenance when required, following approved policies and procedures.
* Inform Human Resources management about employee relations concerns, property-level issues, or matters needing attention.
* Create and maintain filing systems for HR records, correspondence, employee documents, and operational reports.
* Generate Human Resources data reports when needed for managers, leadership, or internal tracking.
* Answer phone calls, record messages, prepare office correspondence, and type HR documents using computer systems.
* Serve as a Human Resources process resource and participate in project teams when assigned.
* Train new hires on HR processes, programs, policies, information systems, and employee-related procedures.
* Follow company policies, confidentiality requirements, grooming standards, and professional conduct expectations.
* Prepare, review, and maintain written documents accurately, completely, and professionally.
* Build positive working relationships with colleagues and support the team in achieving shared HR and hotel goals.
* Move, lift, carry, push, pull, and place objects weighing up to 10 pounds without assistance when required.
* Complete additional reasonable duties requested by supervisors to support Human Resources operations.
Ideal Profile
* High school diploma, G.E.D., or equivalent education is preferred.
* At least 1 year of related work experience in Human Resources, recruitment administration, employee records, payroll support, office administration, or hotel HR operations.
* No supervisory experience is required.
* No license or certification is required.
* Strong understanding of confidential documentation, HR filing, onboarding support, and administrative accuracy.
* Comfortable using Human Resources Information Systems, computer applications, office correspondence tools, and reporting systems.
* Able to coordinate recruitment steps, screening documentation, employee files, transfer requests, and new hire records with care.
* Professional communication skills for speaking with employees, managers, applicants, and internal departments.
* Able to maintain confidentiality when handling employee relations matters, payroll records, personnel files, and proprietary information.
* Detail-oriented, organized, and able to manage multiple HR tasks in a busy luxury hotel environment.
* Positive team approach with the ability to support managers, new hires, and colleagues respectfully and consistently.
