Role Context
The Document Controller - Engineering Records will support project operations by coordinating the movement, registration, tracking, scanning, storage, and release of technical and administrative documents. The role helps engineering, construction, and project teams work from accurate information while maintaining proper version control, approval routing, filing discipline, and reporting records. Reliable document control is essential for project compliance, audit readiness, technical coordination, and successful handover.
Key Responsibilities
* Coordinate the flow of documents between project operations, engineering disciplines, construction teams, and department groups.
* Process project documents through approved procedural steps while following established document control guidelines.
* Maintain document numbering systems, approval requirements, signature workflows, and controlled distribution procedures.
* Receive, register, track, monitor, and update project documents using document management programs and project databases.
* Prepare document logs, transmittals, status reports, register extracts, and other documentation reports as required.
* Enter project data accurately using standard office automation tools and department-specific applications.
* Scan documents for electronic storage and ensure files are stored in the correct digital location.
* Maintain electronic and physical filing systems for drawings, correspondence, reports, records, and technical documents.
* Support established data distribution schedules based on client, project, department, and supplier requirements.
* Expedite document review, signature approval, and release of supplier documents and internally produced records.
* Help ensure current document revisions are available to the right project personnel and superseded documents are controlled properly.
* Support site office teams with timely document retrieval, filing updates, document circulation, and administrative coordination.
* Work closely with project team members to maintain accuracy, confidentiality, and traceability across all document control activities.
* Perform additional document control and administrative duties aligned with project requirements and functional responsibilities.
Ideal Profile
* Degree or Diploma in a related discipline.
* Minimum 5 years of document control experience in an engineering design or consulting environment.
* Previous experience working in site offices is required.
* Working knowledge of Par-docs is required.
* Familiarity with EDMS and DMCS is an advantage.
* Good understanding of document control work processes and electronic documentation systems.
* Ability to identify, organize, and handle drawings and technical engineering documents.
* Proficient keyboard skills with working knowledge of MS Windows.
* Good knowledge of word processing, spreadsheet, and database software.
* Strong organizational skills with the ability to maintain accurate document records and registers.
* Good written and verbal communication skills.
* Able to work effectively as part of a project team in a deadline-driven environment.
