Key Responsibilities
* Maintain accurate crew records, HR databases, employee files, certificates, visa details, training records, and crew documentation.
* Support daily crewing administration for ship management and spot tugs operations, ensuring smooth coordination between crew, operations, technical teams, and management.
* Manage tug crew scheduling, roster planning, leave tracking, absence monitoring, and crew rotation updates.
* Arrange crew travel, ticketing, accommodation, vessel entry and exit approvals, and related coordination with agents.
* Review and update crewing procedures in line with company policy, labour laws, marine standards, and operational best practices.
* Maintain a clear competency matrix and verify crew certificates before joining assignments.
* Coordinate recruitment support for sea-based spot tug roles, including documentation, onboarding, orientation, employee profile setup, and offboarding.
* Assist with payroll inputs for spot tugs operations and respond to crew payroll queries in a timely and professional manner.
* Prepare regular reports for the BU Head covering crew costs, crew rotation, roster updates, compliance records, and operational crewing status.
* Manage victualing accounts for assigned vessels and support cost tracking where required.
* Coordinate training schedules for tug crew in partnership with operations and technical departments.
* Support employee relations matters, including policy queries, grievance handling, disciplinary documentation, and workplace engagement activities.
* Assist audits, HR documentation reviews, and compliance checks with a focus on zero non-compliance findings.
* Follow health, safety, security, environmental, and quality standards across all crewing and HR activities.
Ideal Profile
* Diploma or degree in Crewing Administration, Human Resources, Maritime Operations, Business Administration, or a related field.
* Minimum 4 years of hands-on experience in crewing for tugs, offshore vessels, marine logistics, or ship management operations.
* Experience supporting crewing requirements for ADNOC, QatarEnergy, Saudi Aramco, or similar energy and marine clients is an advantage.
* Strong understanding of crew rostering, certificate verification, onboarding, payroll coordination, leave management, and marine compliance documentation.
* Ability to handle confidential employee data with accuracy, professionalism, and attention to detail.
* Strong communication skills in English with the ability to coordinate effectively with crew members, agents, operations teams, technical departments, and senior management.
* Comfortable working in a fast-moving maritime environment where priorities may change based on vessel movement, crew availability, and client requirements.
* Organized, reliable, and able to maintain clear records, trackers, and reports for operational decision-making.
