Key Responsibilities
* Manage the complete tender process from receipt of the invitation to tender through final proposal submission.
* Review tender documents, technical specifications, commercial requirements, submission timelines, and client expectations to identify key deliverables.
* Coordinate with Operations, Finance, Legal, HSSEQ, Commercial, and other internal teams to collect accurate information for tender submissions.
* Build and maintain tender schedules, ensuring each stakeholder understands assigned actions, deadlines, and documentation requirements.
* Prepare clarification requests for clients when tender details, scope, pricing assumptions, or technical requirements need further confirmation.
* Support the development of technical and commercial proposals that are complete, accurate, persuasive, and compliant with client requirements.
* Prepare risk assessments, sales reports, CRM data analysis, tender tracking updates, and related internal or external reports.
* Maintain organized tender files, proposal documents, client communication records, and supporting documentation for future reference.
* Monitor submitted tenders and keep management updated on progress, client feedback, clarifications, award status, or any commercial developments.
* Coordinate contract closure, award documentation, and handover activities with relevant departments after successful tender outcomes.
* Identify process gaps in tendering workflows and recommend improvements to strengthen efficiency, accuracy, and submission quality.
* Support commercial reporting and tender performance tracking to help improve future bid strategy and decision-making.
Ideal Profile
* Bachelor’s or master’s degree in Business Administration, Marketing, Engineering, IT, Supply Chain Management, or a related field.
* 5-7 years of experience in tender coordination, proposal management, commercial support, contracts administration, or bid management.
* Previous experience in oil and gas, offshore logistics, marine services, port operations, or offshore energy support is strongly preferred.
* Strong understanding of tender documents, proposal compliance, commercial submissions, risk assessment, and contract handover requirements.
* Able to work with technical, financial, legal, HSSEQ, and operational teams to produce well-structured tender responses.
* Confident in interpreting technical and financial data for cost estimates, pricing inputs, proposal summaries, and client-facing submissions.
* Strong professional communication skills with the ability to engage internal departments and external clients clearly and confidently.
* Detail-focused, proactive, and capable of managing several tender submissions under strict deadlines.
* Comfortable working in a fast-paced offshore services environment where accuracy, timing, and compliance directly affect business success.
