We are looking for a competent Executive Secretary to support high-ranking officials in our company. You will be the one to organize and maintain the executive’s schedule and assist them by performing a variety of administrative tasks. Reporting directly to the CEO and provides administrative, and development support to the CEO and Board of Directors, as well as the Senior Leadership Team (SLT) and HR. The Executive Assistant has to serves as the primary point of contact for internal and external constituencies on all matters pertaining to the CEO. Executive secretaries must be quick professionals with great time-management and multitasking abilities. It is with their diligence and competence in their work that executives can focus on their managerial responsibilities without worrying for other tasks. The goal is to contribute to the efficiency of the overall business by ensuring all assigned administrative duties are carried on timely and efficiently.
Works closely and effectively with the CEO to keep him/her well informed of upcoming commitments and responsibilities, following up appropriately.
Acts as a "barometer," having a sense for the issues taking place in the environment and keeping the CEO updated.
Maintain executive’s agenda and assist in planning appointments, board meetings, conferences etc.
Successfully completes critical aspects of deliverables with a hands-on approach, including drafting acknowledgement letters, personal correspondence, and other tasks that facilitate the CEO's ability to effectively lead the company.
Works directly with senior level staff and HR both internally and externally.
Attend meetings and keep minutes.
Receive and screen phone calls and redirect them when appropriate.
Handle and prioritize all outgoing or incoming correspondence (e-mail, letters, packages etc.).
Make travel arrangements for executives.
Handle confidential documents ensuring they remain secure.
Prepare invoices or financial statements and provide assistance in bookkeeping.
Monitor office supplies and negotiate terms with suppliers to ensure the most cost-effective orders.
Maintain electronic and paper records ensuring information is organized and easily accessible.
Conduct research and prepare presentations or reports as assigned.
Education and Experience Requirements
Bachelor's degree required.
Strong work tenure: 2 to 5 years of experience supporting C-Level Executives.
Experience and interest in internal and external communications, partnership development.
Must be Proficient in Microsoft Office (Outlook, Word, Excel, and Power Point).
Ability to work independently and with professional discretion.
