Role Context
The Associate Certification Tech - Documentation will support project certification activities by recording approved drawings, material certificates, inspection requests, NDT results, material traceability numbers, and as-built dossier documents into the required systems. The role helps protect project quality and traceability by ensuring certification packages are complete, accurate, properly reviewed, and ready for customer or certifying authority approval. This position is important for maintaining reliable fabrication records, smooth project handover, and compliance with Oil and Energy project documentation standards.
Key Responsibilities
* Set up approved drawings progressively and ensure they are recorded and entered accurately into the project system.
* Generate material certificate records and coordinate customer or third-party approval where required.
* Prepare traceability reference tables from approved material certificate records.
* Record computerized inspection requests before NDT activities are performed, where applicable.
* Ensure material traceability numbers are updated progressively and linked to approved drawings, material lists, and MCR index records.
* Enter NDT results into the system after review by the NDT coordinator.
* Review certification packages covering drawings, WHSS, MTN, NDT, PWHT, PMI, ferrite, and hardness test reports.
* Confirm certification packages are compliant with project requirements and signed by all relevant parties before customer submission.
* Prepare as-built dossier indexes in line with approved project procedures.
* Compile all required documents according to the as-built dossier index and prepare original hard copy and soft copy records as required.
* Reproduce as-built dossiers according to project submission and handover requirements.
* Transmit final as-built dossier hard copies and soft copies to project document control for final storage.
* Perform certification duties, PCM data entry, documentation control, and dossier compilation for fabrication structures and piping scopes.
* Enter daily welding log sheet data, drawing information, NDT results, and material traceability details into the PCM system.
* Maintain progressive compilation of project certification records to support accuracy, completeness, and traceability.
* Submit certification packages to customers and certifying authorities for review and approval.
* Support safe working practices, quality standards, productivity targets, and compliance with the code of business conduct.
* Follow defined operating procedures, quality guidelines, and project documentation workflows under supervision and team support.
Ideal Profile
* Minimum senior high school qualification.
* Minimum 2 years of experience in certification, document control, quality documentation, inspection records, fabrication documentation, or project dossier support.
* Experience supporting Oil and Energy, fabrication, piping, construction, EPC, or industrial project documentation is an advantage.
* Basic understanding of certification packages, material certificate records, inspection requests, NDT documentation, traceability records, and as-built dossiers.
* Ability to work with approved drawings, welding logs, material lists, test reports, and project documentation indexes.
* Proficient in Microsoft programs and Adobe.
* High-level proficiency in Microsoft Excel and PowerPoint.
* Intermediate skills in Power BI, Power Apps, Power Automate, and SharePoint troubleshooting.
* Graphic design and video editing skills are an added advantage.
* Strong attention to detail with the ability to enter, check, and organize large volumes of technical documentation.
* Able to follow procedures, meet documentation deadlines, and maintain accuracy under supervision.
* Good coordination skills for working with certification teams, NDT coordinators, document control, customers, and certifying authorities.
