The specialist operates within established procedures while receiving guidance from more experienced team members. Over time, the role develops deeper capability in system administration, assurance processes, data migration, KPI analysis, procedure control, and stakeholder support.
Key Responsibilities
* Support QHSES strategic initiatives by helping translate assurance objectives into practical system and reporting activities.
* Apply established QHSES Assurance procedures to routine and standard operational requirements.
* Provide day-to-day assistance to users of the QHSES Enterprise System.
* Perform routine system reliability training for end users.
* Act as a subject matter resource and Super Administrator within assigned QHSES system responsibilities.
* Explain system functions, workflows, user requirements, and standard operating processes to project and business teams.
* Monitor system functionality and identify recurring reliability or usability issues.
* Troubleshoot standard QHSES Enterprise System problems using established procedures.
* Escalate complex technical issues to appropriate QHSES or IT personnel when necessary.
* Support project teams during implementation and adoption of QHSES systems.
* Assist projects with configuration requirements, system profiles, metrics, and reporting.
* Maintain project profiles so that system information remains accurate and current.
* Update correlated system records when project approvers, responsible personnel, or workflow authorities change.
* Verify that changes in approval structures are reflected correctly across related records.
* Review application specifications and confirm alignment with defined product requirements.
* Support system design and implementation activities by providing QHSES user input.
* Gather feedback from end users concerning system functionality and operational requirements.
* Compare user needs with current company procedures and controlled documentation.
* Identify situations where documented procedures no longer reflect existing system functionality.
* Assist with updating QHSES procedures to maintain alignment between business processes and system workflows.
* Support preparation of new procedures where additional controls or instructions are required.
* Upload approved procedures into UNIFI according to established document control requirements.
* Ensure procedure updates and uploads are completed within required timeframes.
* Assist with system testing, integration, and implementation activities.
* Support validation of system changes before wider deployment where assigned.
* Help identify system defects, workflow issues, or configuration gaps affecting QHSES users.
* Work with IT personnel on QHSES data administration requirements.
* Assist with front-end and back-end record modifications within authorized controls.
* Support controlled import of historical information from legacy management systems.
* Prepare legacy data for migration into current QHSES applications.
* Check imported records for completeness and consistency.
* Help resolve data mapping, formatting, or record quality issues associated with migration.
* Maintain accurate system records after migration or administrative changes.
* Protect data integrity when modifying records, profiles, approvals, or system configurations.
* Assist with preparation of monthly QHSES KPI reports.
* Compile relevant QHSES performance data for analysis.
* Review reported metrics for completeness and obvious inconsistencies before submission.
* Support analysis of QHSES KPI trends for Directors and other stakeholders.
* Help prepare management-level reporting materials using approved information and formats.
* Prioritize assigned tasks based on end-user needs, business impact, and required completion dates.
* Interpret user requests to determine the nature and urgency of system support required.
* Manage routine user issues while maintaining service quality and timely communication.
* Maintain professional customer service when assisting users with QHSES system questions.
* Communicate clearly with project personnel, QHSES teams, IT personnel, and management stakeholders.
* Participate in internal QHSES audits according to the approved audit program.
* Support external audits where QHSES system records, procedures, or assurance evidence are required.
* Assist auditors with retrieval of controlled information and supporting system records.
* Track audit-related requests and support timely provision of required documentation.
* Maintain appropriate records associated with assurance activities.
* Apply knowledge of ISO management systems when supporting audits and assurance processes.
* Use Lead Auditor knowledge relating to ISO 9001, ISO 14001, or ISO 45001 during applicable assurance activities.
* Help ensure QHSES systems and procedures support established management system requirements.
* Maintain confidentiality and integrity of business and QHSES data.
* Work collaboratively as a member of multidisciplinary teams.
* Take leadership of routine tasks or small work activities when assigned.
* Provide clear presentations and user guidance relating to QHSES system processes.
* Exercise sound judgment when selecting solutions for standard system and assurance issues.
* Support continuous improvement by identifying repetitive administrative, reporting, or system problems.
* Share practical improvement suggestions with senior QHSES team members.
* Maintain the technical and functional competencies required for the QHSES Assurance function.
Ideal Profile
A Bachelor\'s degree in a relevant discipline is preferred.
Candidates should bring approximately three years of relevant industry experience, particularly within EPC construction, fabrication, energy projects, or related QHSES environments.
A current Lead Auditor qualification for ISO 9001, ISO 14001, or ISO 45001 is required.
The preferred candidate understands management system assurance and can work comfortably with both procedural requirements and digital QHSES platforms.
Practical knowledge of system design, development, testing, integration, and implementation is important.
Experience administering QHSES systems is expected, including user support, system configuration, record maintenance, and collaboration with IT teams.
Candidates should have exposure to data imports from legacy systems and understand the importance of maintaining accurate front-end and back-end records.
Experience handling system profiles, workflows, approvers, or related administrative controls will be valuable.
Strong problem-solving and troubleshooting capability is required for resolving routine system issues and assessing when escalation is necessary.
