Role Context
The Senior Expediting Tech plays a practical role in protecting project schedules by ensuring equipment packages, materials, and supplier documentation are delivered in line with purchase order requirements. The position supports procurement, project, logistics, engineering, accounting, and supplier teams by keeping updates accurate, identifying delays early, resolving expediting issues, and escalating concerns when needed. Through timely reporting, supplier follow-up, and disciplined coordination, this role directly improves package visibility, delivery reliability, and the overall quality of procurement execution.
Key Responsibilities
* Expedite suppliers effectively to support timely delivery of equipment packages, materials, and related documentation required under purchase orders.
* Follow approved expediting procedures while tracking supplier progress, delivery commitments, documentation status, and project requirements.
* Review supplier project schedules and understand different levels of critical activities affecting package delivery.
* Communicate with suppliers in a confident, professional, and persuasive manner through both written and verbal follow-up.
* Prepare and issue daily and weekly expediting reports for assigned purchase orders and packages.
* Coordinate with internal departments to accelerate document review, approval, and return cycles.
* Enter consistent and timely updates into company systems so project teams have accurate visibility of package progress.
* Distribute expediting reports to project teams and suppliers to highlight progress, concerns, risks, and required actions.
* Follow up with sub-suppliers when necessary to support manufacturing progress, documentation completion, or delivery readiness.
* Work with project disciplines to address technical, documentation, schedule, logistics, or supplier-related expediting issues.
* Highlight and escalate delivery risks, supplier delays, documentation gaps, or unresolved concerns to the appropriate team members.
* Identify when field expediting visits are required and perform field visits to verify progress or resolve issues.
* Liaise with logistics teams to arrange transportation, shipment planning, and movement of materials or equipment.
* Coordinate and close out over, short, and damaged shipment issues in collaboration with relevant stakeholders.
* Support timely resolution of supplier invoice issues and follow up with accounting teams regarding payment-related matters.
* Assist with purchase order closeout by ensuring documentation, delivery, invoice, and system requirements are completed.
* Maintain tactful, friendly, and confidential communication with project management teams, clients, suppliers, and sub-suppliers.
* Ensure meetings, investigations, follow-up actions, analysis, and support activities are completed thoroughly and properly documented.
* Share practical expediting knowledge with colleagues who have less experience and support consistent team performance.
Ideal Profile
* Associate’s degree, foundation qualification, HSD, GED, IGCSE, or equivalent education in a relevant discipline.
* 1-6 years of relevant experience in expediting, procurement support, supplier coordination, logistics coordination, project procurement, or materials follow-up.
* Experience working with purchase orders, supplier schedules, delivery tracking, expediting reports, and project documentation is preferred.
* Working knowledge of Microsoft Office applications, including Word, Excel, Outlook, and Access.
* Ability to understand supplier progress, identify delays, and follow up actions until closure.
* Confident written and verbal communication skills for supplier coordination and internal reporting.
* Practical understanding of how procurement, engineering, logistics, accounting, and project teams interact during package delivery.
* Ability to work with limited supervision while maintaining accurate updates and timely reporting.
* Organized approach to tracking multiple orders, documents, issues, deadlines, and stakeholder actions.
* Professional attitude when dealing with suppliers, sub-suppliers, clients, and project management teams.
* Ability to handle atypical or infrequently occurring expediting problems using existing procedures and precedents.
* Strong attention to detail when updating systems, reviewing reports, closing issues, and supporting purchase order completion.
