The Receptionist represents Yas
A strong understanding of Academy information is important because parents may require guidance on curriculum, educational levels, tuition fees, registration, and admissions procedures. The Receptionist must therefore balance a welcoming manner with accurate communication, organized recordkeeping, confidentiality, and efficient referral of enquiries to the appropriate school teams.
Key Responsibilities
* Welcome parents, students, visitors, and staff in a friendly and professional manner.
* Deliver consistently high standards of front-office customer service while representing Yas American Academy.
* Maintain current knowledge of key Academy information to answer routine enquiries accurately.
* Explain relevant information about the school\'s curriculum, education levels, tuition fees, and general services.
* Guide prospective parents during the initial stages of student registration and admission enquiries.
* Assist the Admissions team with incoming and outgoing telephone calls.
* Record admissions enquiries accurately within the school\'s MIS database.
* Answer, screen, transfer, and forward incoming calls using established telephone etiquette and referral procedures.
* Respond courteously to enquiries received in person, by telephone, or through email.
* Direct specialized questions to the appropriate member of staff or department.
* Keep the reception area organized, professional, and appropriately supplied with forms, stationery, brochures, and other materials.
* Update attendance registers and other routine school records when assigned.
* Prepare class lists, information sheets, data extracts, and administrative records as required.
* Complete word-processing, spreadsheet, database, and internet-based administrative tasks.
* Support filing, photocopying, printing, and preparation of standard forms.
* Process routine correspondence and maintain orderly administrative documentation.
* Sort and distribute incoming mail to the appropriate recipients.
* Arrange visitor transportation when required.
* Participate in relevant meetings and provide administrative assistance arising from agreed actions.
* Maintain accurate information when handling enquiries involving students, parents, or school operations.
* Assist management with administrative and reception assignments according to operational priorities.
* Support a safe, respectful, and welcoming environment for children and families.
* Handle school and personal information with appropriate discretion.
* Perform additional reasonable front-office and clerical duties consistent with the responsibilities of the position.
Ideal Profile
Applicants should hold at least a secondary school certificate and have a minimum of two years of experience in a customer-focused position. Previous experience within a school or wider education environment is preferred, with two years of school-setting exposure particularly relevant to the role.
The position requires suitable English language capability for communicating confidently with a diverse school community. Experience interacting with students or families for whom English is not their first language will be beneficial.
Candidates should be comfortable working with databases, spreadsheets, word-processing applications, email, and routine digital administration. Accuracy is particularly important when recording admissions enquiries, updating school information, or communicating details to parents.
