Key Responsibilities
* Manage executive and team calendars while coordinating meetings, appointments, room bookings, and schedule changes.
* Prepare agendas, presentation materials, supporting documents, and logistical arrangements for meetings.
* Coordinate virtual meetings and record accurate notes, decisions, and follow-up actions.
* Monitor emails, shared mailboxes, and business correspondence, ensuring messages are categorized and routed correctly.
* Draft routine communications and follow up on pending responses or administrative actions.
* Create and maintain structured digital and physical filing systems.
* Ensure documents are named, stored, retained, and accessed according to company procedures.
* Process employee expense reports and coordinate approvals with Accounts Payable.
* Track reimbursement and payment status and resolve missing documentation or approval issues.
* Follow up on supplier invoices, purchase orders, and other vendor-related administrative matters.
* Communicate with vendors and internal departments to obtain required records, confirmations, and updates.
* Prepare reports, spreadsheets, trackers, presentations, and organizational documents using Microsoft Office.
* Review administrative records for completeness, formatting quality, and data accuracy.
* Respond professionally to inquiries from employees, clients, vendors, and other stakeholders.
* Assist with special assignments, project coordination, data entry, and budget tracking when required.
* Protect confidential information and exercise discretion when handling sensitive documents or communications.
* Identify routine administrative problems and resolve them independently where appropriate.
* Adapt priorities as business requirements, deadlines, and team needs change.
Ideal Profile
Applicants should hold a bachelor\'s degree and have at least five years of relevant administrative experience. Previous work in a corporate, consultancy, engineering, construction, or professional services environment would be particularly useful.
Strong proficiency in Microsoft Word, Excel, Outlook, and PowerPoint is required. Candidates should be comfortable producing reports, maintaining trackers, organizing calendars, and preparing well-presented business documents.
The role requires excellent written and spoken English, careful attention to detail, sound time management, and the ability to handle several changing priorities. Candidates must communicate respectfully with diverse stakeholders and maintain professionalism when working with confidential information.
Experience using SharePoint, Microsoft Teams, document management platforms, expense systems, accounts payable processes, databases, or project coordination tools would strengthen an application.
