Role Context
The Junior HRBP - Retail HR Operations role supports the Senior HRBP and HR Operations Manager by helping maintain workforce accuracy, recruitment discipline, employee relations documentation, payroll records, SAP workflows, reporting, and audit compliance. In a retail environment with active store operations and changing manpower needs, the role helps ensure HR information remains accurate, timely, and aligned with business requirements.
The successful candidate will work with managers, store admin teams, shared service units, talent acquisition teams, and group functions to support smooth HR operations, improve data quality, and ensure people-related processes are completed in line with policy, labour requirements, and internal audit expectations.
Key Responsibilities
* Support manpower budget preparation by collecting workforce requirements from management teams.
* Validate budget assumptions and ensure accurate data entry into planning tools for each cost center.
* Prepare headcount tracking sheets by band, department, cost center, and approved manpower budget.
* Compile HR data, review variances, prepare reports, and support regular workforce analysis.
* Collect PDR ratings and forms, check completeness, and coordinate with managers for required corrections or guidance.
* Support recruitment and manpower planning activities for band G and below, including store-based roles.
* Coordinate with the Talent Acquisition team to open, update, and manage requisitions in SuccessFactors.
* Ensure recruitment processes follow approved guidelines, business requirements, and internal audit expectations.
* Track recruitment timelines and support hiring completion within agreed service expectations.
* Review disciplinary cases, check documentation, compare evidence, and support recommended action with the Senior HRBP.
* Prepare warning letters and disciplinary letters, ensuring timely issue and proper filing.
* Train and guide store admin teams on HR documentation, data keeping, and audit compliance standards.
* Conduct HR cost and accrual checks as instructed by the HR Operations Manager.
* Support accurate payroll records and help ensure employee payments are processed on time.
* Check SAP HCM workflows to confirm employment status changes, transfers, and management updates are correctly reflected.
* Work with line managers and shared service units to maintain accurate employee records and reporting structures.
* Keep organization charts updated to reflect current business and store structures.
* Build effective working relationships with store teams, group functions, shared service teams, and business stakeholders.
* Gather employee feedback and support engagement activities where required.
* Represent the company and brand values responsibly in all HR interactions.
Ideal Profile
The ideal candidate has a Bachelor degree in a relevant field and at least 3 years of experience in personnel administration, HR operations, retail HR support, or a similar HR generalist role. Experience supporting store-based employees, workforce reporting, SAP HCM records, recruitment coordination, payroll checks, and employee relations documentation will be valuable.
The candidate should have strong knowledge of personnel administration from workflow, policy, legal, and systems perspectives. A good understanding of labour law requirements, confidentiality, HR compliance, and internal audit expectations is important for this position.
