Role Context
The
Key Responsibilities
* Manage inbound logistics activities in SAP Material Management, including vendor creation, material creation, brand creation, and related master data coordination.
* Coordinate with EIT, Finance, brand teams, and internal stakeholders to ensure SAP records and logistics data are updated accurately.
* Follow up with warehouses, vendors, insurance providers, 3PL clearing agents, and brand teams for shipment movement, documentation, and stock receipt.
* Support end-to-end supply chain documentation from shipment handover through customs clearance and warehouse receiving.
* Process bank guarantees, letters of credit, and document payment requirements in coordination with brand managers and order approval processes.
* Coordinate with suppliers, banks, clearing agents, and related parties to clear consigned shipments and complete payment clearance requirements.
* Provide required documentation to shared services and finance teams for clearing advance payments against bank guarantees.
* Follow up with vendors for monthly import plans and maintain import reports for finance review and shipment visibility.
* Process sales orders in SAP based on stock allocation, approved pricing, and brand requirements.
* Prepare proforma invoices and coordinate missing pricing updates with the relevant brand team.
* Process deliveries in SAP for picking, packing, invoicing, and outbound dispatch preparation.
* Prepare outbound shipment documents including invoices, packing lists, shipment attestations, and country-specific export requirements.
* Coordinate with 3PL partners to ensure outbound shipments are processed on time and supported with complete documentation.
* Initiate weekly payment processes for 3PL invoices covering freight, courier, customs, and related logistics costs.
* Maintain a payment monitoring database to support analysis, reconciliation, and finance follow-up.
* Reconcile overseas operations stock reports with SAP stock records every fortnight.
* Coordinate with warehouse, sourcing, finance, and brand teams to identify and resolve stock discrepancies.
* Support inventory control, logistics reporting, administrative tracking, and documentation accuracy across assigned brands.
Ideal Profile
* Bachelor\'s degree in a related field such as Business Administration, Logistics, Supply Chain, Finance, or Commerce.
* Minimum 2-3 years of experience in administration, logistics coordination, sales coordination, supply chain support, or retail operations support.
* Experience in retail logistics, watches and jewellery, luxury goods, consumer products, or branded merchandise operations is an advantage.
* Good working knowledge of SAP, especially Material Management, sales order processing, delivery processing, and invoice-related transactions.
* Strong MS Office skills with the ability to manage reports, trackers, databases, and documentation accurately.
* Basic understanding of accounting practices, payment processing, bank guarantees, letters of credit, and invoice follow-up.
* Ability to coordinate with vendors, warehouses, banks, clearing agents, 3PL partners, finance teams, and brand teams.
* Strong analytical ability with attention to detail in stock records, shipment documents, pricing inputs, and payment reports.
* Able to manage multiple tasks in a fast-paced retail logistics environment.
* Good understanding of merchandising, planning, sales support, stock allocation, and retail supply chain processes.
* Clear communication skills with a positive, cooperative, and service-focused working style.
* Organized approach with the ability to follow up consistently and close pending actions with internal and external stakeholders.
