Serves visitors by greeting, welcoming, and directing them appropriately.
Notifies company personnel of visitor arrival.
Answer, forward and transfer phone calls to the concerned party
Provide basic and accurate information in-person and via phone (such as company address, directions to the company location, company fax numbers, company website and other related information)
Receive, sort and distribute daily mail/deliveries
Arrange and book the conference room for the meetings
Responsible for monitoring and ordering of supplies (Stationary and Pantry) after taking the approval
Responsible in monitoring and paying online the office as well as the staff accommodation utilities
Generate daily attendance reports of the employees and send it to the HR Personnel
Coordinate with the drivers on their daily routings
Assist in support (induction program, office set-up, etc.) for new joiners in the Dubai office
Assist in setting-up F2F or virtual interviews
Support the EA with the travel arrangements, hotel bookings, transfers and relevant visas as required in line with company policies as appropriate and liaising with overseas offices/embassies/clients to obtain necessary information
Support the EA with the company trade license renewal, Health Insurance and new employees residence visa applications
Liaise with the accounting department on all the required payments and invoices
Prepare all standard documents required for the new employees bank account opening
Organizing company files and maintain proper filing of all documents both soft and hard copies.
Responsible in monitoring the company RE properties tenancy expiries and address all the tenants apartment concerns
Liaise with the Real Estate agencies for property listings
Assist the team in other ad hoc duties as required and provide cover during holidays
