Role Context

The Senior Contracts Administrator will provide end-to-end contractual and commercial support across utility and infrastructure projects where timely notices, variation control, subcontract administration, cost forecasting, and accurate documentation directly affect project performance. This position helps reduce commercial exposure by interpreting FIDIC-based contracts, tracking obligations, preparing contractual correspondence, supporting claims, managing subcontract records, and providing reliable reporting to project and commercial leadership. The role is important for maintaining contractual discipline, protecting entitlement, supporting cash flow, and strengthening commercial governance throughout the project lifecycle.

Key Responsibilities

* Review, interpret, and administer head contracts, including FIDIC-based agreements, for assigned utilities and commercial infrastructure projects.
* Track contractual obligations such as notices, deliverables, insurances, bonds, warranties, approvals, time bars, and reporting requirements.
* Prepare and manage contractual correspondence including delay notices, extension of time notices, variation notices, claims notices, formal letters, and commercial responses.
* Support negotiation and agreement of contract amendments, commercial resolutions, variation settlements, and contractual terms with clients and key subcontractors.
* Identify, evaluate, and price variations and claims arising from design changes, site conditions, client instructions, programme impacts, and scope changes.
* Prepare variation proposals, cost substantiation, supporting documents, narratives, records, and evidence packages for client review and approval.
* Assist with contractual claims involving delay, disruption, extension of time, loss and expense, and related project impacts.
* Work with planners, project managers, commercial teams, and technical staff to substantiate and defend claims with accurate records and clear entitlement.
* Support the Contracts Manager in resolving commercial issues, subcontractor disputes, client queries, and contractual disagreements.
* Prepare tender packages for subcontractors, including scope documents, commercial conditions, pricing requirements, and evaluation criteria.
* Evaluate subcontractor tenders, support negotiation of terms, and prepare award recommendations.
* Draft, review, and administer subcontracts while ensuring back-to-back alignment with head contract obligations.
* Manage subcontractor progress claims, variations, extension of time requests, payment assessments, final accounts, and commercial closeout records.
* Assist with project budgets, cost plans, cash flow forecasts, cost-to-complete updates, and commercial performance reporting.
* Prepare monthly cost reports covering committed costs, incurred costs, forecast final cost, contingency use, margin position, and variation status.
* Coordinate with finance and project teams to reconcile project accounts, resolve discrepancies, and support accurate revenue recognition.
* Support procurement strategies for trades, suppliers, and specialist packages in line with project schedule, scope, and budget expectations.
* Identify commercial and contractual risks, recommend mitigation measures, and help ensure risks are properly reflected in contract documents and commercial arrangements.
* Check that required insurance, securities, guarantees, warranties, and commercial protections are in place and maintained during the project.
* Assist with supplier and subcontractor performance reviews from a commercial and contractual standpoint.
* Maintain complete commercial records including correspondence, contract documents, variations, claims, approvals, meeting minutes, cost reports, and final account files.
* Ensure compliance with company commercial policies, governance requirements, delegations of authority, and project procedures.
* Support internal audits, commercial reviews, lessons-learned exercises, and management reporting requirements.
* Assist with project closeout documentation, final accounts, commercial summaries, and contract completion records.

Ideal Profile

* Bachelor’s degree in Quantity Surveying, Construction Management, Law, Commerce, or a related discipline.
* Equivalent combination of education and relevant contracts or commercial experience may be considered.
* Minimum 6 years of progressive experience in contracts administration, quantity surveying, commercial management, or project commercial support.
* Experience within construction, utilities, industrial facilities, infrastructure, or property development projects.
* Demonstrated experience administering standard form construction contracts and managing subcontractors in a commercial project environment.
* Good working knowledge of FIDIC contracts, construction contract law, standard contract forms, commercial procedures, and risk allocation.
* Strong ability to manage variations, claims, extensions of time, final accounts, payment assessments, and contractual notices.
* Proficiency in cost reporting, budget tracking, forecasting, cost-to-complete reviews, and commercial performance analysis.
* Able to prepare clear contract correspondence, commercial reports, claim narratives, tender documentation, and subcontract records.
* Strong negotiation and communication skills with the ability to build productive relationships with clients, subcontractors, consultants, project teams, and internal stakeholders.
* High level of numerical accuracy, attention to detail, analytical thinking, and documentation discipline.
* Proficient in relevant contract administration systems, estimating tools, document management platforms, and Microsoft Office applications.
* Experience using Aconex or similar document control and correspondence management systems is preferred.
* Professional membership or progress toward membership in a relevant commercial, quantity surveying, contract, or construction body is desirable.
* Project management, contract law, or commercial management short courses or certifications are an advantage.
* Able to work under pressure, manage competing priorities, protect contractual deadlines, and meet reporting requirements in a fast-paced project environment.
