Helpdesk Coordinator – Facilities & CAFM Support

DP World UAE is hiring a Helpdesk Coordinator to support administrative and coordination functions within the Asset & Property Management (APM) department. Based in Dubai, this role involves handling inbound service requests, updating the CAFM system, coordinating with service providers, and ensuring efficient tracking and resolution of technical and maintenance jobs.

What Does a Helpdesk Coordinator Do?

- Operate and manage the DP World CAFM (Computer-Aided Facility Management) system and Helpdesk interface
- Receive incoming service requests via phone and email and categorize them based on urgency and nature
- Record all calls and requests accurately in the CAFM platform or SharePoint as per standard operating procedures
- Allocate service tickets to the appropriate internal resource, service provider, or contractor, and notify relevant stakeholders
- Provide callers with updates on service timelines and escalation procedures for unresolved or repeated issues
- Monitor progress of assigned jobs, ensure work is closed with accurate details, and follow up on outstanding tasks
- Track Building Management Systems (BMS), EMC systems, and other facilities monitoring platforms in real time
- Support administrative tasks including database updates, document handling, and reporting
- Ensure timely communication across departments to minimize response delays and maximize customer satisfaction
- Escalate delays or repeated issues to supervisors and maintain service performance records

What Are the Key Responsibilities?

- Operate CAFM systems for logging, updating, and closing service requests
- Monitor email inbox for requests and manage telephony system communication professionally
- Provide support to management on reporting, data consolidation, and CAFM analytics
- Participate in technology-driven improvements for facilities operations
- Ensure SLA compliance and follow-up with vendors for resolution verification
- Maintain logs, schedules, and system records for future reference and auditing

What Skills Are Needed for a Helpdesk Coordinator in Dubai?

Education:
- Bachelor’s degree in any discipline is preferred
- Bilingual proficiency in English and Arabic is an advantage

Experience:
- 4 to 6 years of experience in administrative or coordination roles within facilities management or service industries
- Experience operating CAFM systems such as Concept Evolution and call center telephony systems is essential

Technical Skills:
- Proficiency in CAFM software, Microsoft Outlook, Word, Excel, and PowerPoint
- Familiarity with building systems monitoring platforms (BMS, EMC)
- Strong documentation and data management capabilities

Soft Skills:
- Strong communication and customer service skills
- Proactive approach to coordination and problem-solving
- High attention to detail and ability to manage multiple priorities
